  <Title>Search Ultra content &amp; set up multiple grade schema in April</Title>
  <Tagline>Updated functionality supports improved grading workflows</Tagline>

    <div>A grading schema provides a way for an instructor to establish how a grade is calculated and appears to learners. A schema takes points scored on an assessment and compares it to the chart, which is mapped according to specifications defined by the instructor. The default schema in Ultra courses is based on a points or percentage scale to a letter grade.</div>

    <div>In early April, Ultra courses will support multiple grading schema, allowing faculty to add, copy and edit up to 100 different options in a course for how grades are calculated and appear to students. For example, if an assessment is a pass/fail or complete/incomplete, a grading schema can be created to support this scoring method. Items copied from other courses will keep their grading schema and when copying content and assessments, any configured schemas will also copy, even if not aligned to gradable items.</div>

    <div>Another exciting update for Ultra courses is a new search function. Instructors and students can now search course content titles to find items in the course -- this includes folders, learning modules, Ultra Documents, file names, assessments, and discussions. When a user types a few letters, the course search function displays a list of matching items by title. Expanding the search results will provide more information related to the course item(s). Search will also check descriptions of items when this field is used in an Ultra course, but not the content of file attachments.</div>

    <div><span>Additional updates to Ultra for April include:</span></div>

    <li>Hotspot question enhancements include a circle-shape selector to mark the hotspot.</li>
    <li>Clicking on a student's name will take the instructor to the Student Overview page to view the student's progress in a course from the Gradebook, Roster, Messages, and Discussions.</li>
    <li>Several improvements for the grading process include sorting records by first or last name or grade., accessing items that need grading quickly on the submission page, and posting status.</li>
    <li>Discussion enhancements include a new tab navigation for the student discussions, student activity, and grading.</li>
    <li>Bb Annotate features improved formatting and editing such as font colors, bold, underline, and hyperlinks. Instructors can also edit existing comments.</li>

  <Title>Course Accessibility to Support All Learners</Title>

    <p><span>DoIT and Student Disability Services hosted a "</span><a href="https://my3.my.umbc.edu/groups/instructional-technology/events/115783" rel="nofollow external" class="bo"><span>Candid Conversation on Enhancing Accessibility</span></a><span>" on March 15th. The session highlighted ways that course accessibility benefits all students and results in inclusive learning and working environments. Student Disability Services and DoIT's Instructional Technology team collaborate to provide resources and support to enhance course accessibility. Proactively designing and teaching a course with accessibility in mind not only supports students with documented accommodations, but also supports </span><a href="https://udlguidelines.cast.org/" rel="nofollow external" class="bo"><span>Universal Design for Learning (UDL)</span></a><span> principles and best practices in course design.   <Title>March streamlines multiple-attempts for ease of grading</Title>

    <div>The March update to Ultra streamlines the grading interface for multiple attempts in a student's submission. This update reduces the number of clicks and pages, allowing instructors to quickly navigate between submissions. When switching, Ultra will display important information such as the attempt number, time and date of submission, file size, grade (if available) and a late indicator (if applicable). This update applies <span>to both</span> tests and assignments. </div>

    <div>In addition <a href="https://my3.my.umbc.edu/groups/instructional-technology/posts/130066" rel="nofollow external" class="bo">to the January update</a> where discussion posts may be deactivated based on due date, this month's update provides faculty with an option to modify a discussion and manually turn off student editing and commenting. Increased control over discussion activity provides faculty with more options to choose when and how discussions start and end in a course.</div>

    <div>Another feature released in March is the ability to reschedule announcements with a new notification alert for students within the course. <span>Some instructors were recreating announcements from scratch to generate the pop-up to help students see an announcement. W</span><span>ith this update, instructors can now reschedule announcements by changing the show on and hide after fields to a future date.</span>

    <div>Additional updates to Ultra for March include:</div>

    <li><span>A PDF version of the SafeAssign originality report, including clickable sources. Additionally, infrastructure improvements were made to support peak usage.</span></li>
    <li><span>Sorting controls in the Student List view, allowing instructors to sort by grade (low to high / high to low) in the Overall Grade column.</span></li>
    <li>
    <span>Sorting controls on the Anonymous Submissions page for an </span>assessment to sort by grade (low to high / high to low) in the grade column for that assessment.</li>
    <li>Improvements to the Course Activity page, accessed from the Analytics tab, helps helps instructors easily identify students who might be falling behind, select and message students.</li>

  <Title>Update: All Students Req'd to Use Duo</Title>
  <Tagline>Phased rollout continues in Spring 2023</Tagline>

    <p><span>As </span><a href="https://doit.umbc.edu/post/126949/" rel="nofollow external" class="bo"><span>announced</span></a><span> before the start of the Fall 2022 semester, DoIT is proceeding with enrolling all students in the campus' </span><a href="http://my.umbc.edu/go/duo" rel="nofollow external" class="bo"><span>Duo multi-factor authentication</span></a><span> (MFA) account security service by the end of the 2022-23 academic year. This includes graduate students, but since many are also employed as graduate or research assistants, they are automatically enrolled as employees. However, to manage potential support issues, and learn from the wider rollout, DoIT has been proceeding with a phased approach focusing on undergraduates starting last month.</span></p>
    <p><span>Specifically, with dean and chair approval, and review by shared governance groups, DoIT reached out to and/or enrolled 1,053 Information Systems majors in January (about 5% self-enrolled after receiving two messages linking back to DoIT's</span><a href="https://doit.umbc.edu/post/126949/" rel="nofollow external" class="bo"><span> 8/22/22 announcement</span></a><span> with related </span><a href="http://my.umbc.edu/go/duo" rel="nofollow external" class="bo"><span>FAQs</span></a><span>). The rest were automatically enrolled on January 17, 2023, similar to how Duo was rolled out for </span><a href="https://doit.umbc.edu/news/?id=76035" rel="nofollow external" class="bo"><span>all employees</span></a><span>. Then, after the start of Spring 2023 classes, DoIT adopted the same approach with ~2k Computer Science/Electrical Engineering majors, enrolling those who had not done so voluntarily on 2/14/23.</span></p>
    <p><span><em>Why Now?</em></span></p>
    <ol>
    <li><span>The move to an online portal by Retriever Integrated Health for student health information. This information can be highly sensitive and needs second factor protection. </span></li>
    <li>The Department of Education Financial Student Aid requirements now dictate as of June 2023 we work to meet new security requirements aligned with NIST 800-171, which requires stronger authentication practices such as Duo.</li>
    <li>Targeted phishing email attacks to steal student credentials. Students regularly get their account password compromised in phishing emails telling students they have to login using their UMBC email. The MFA provides the added protection so those accounts can't be used for further attacks on UMBC or other students.</li>
    </ol>
    <p><span>While any student can self-enroll now, it is important to reach out to all students when they are more likely to access -- and still control --their account used in many UMBC IT systems. For example, relatively more CS/EE students self-enrolled in Duo </span><span>during</span><span> this semester than IS students two weeks </span><span>before</span><span> it. As such, pushing off the student requirement to winter or summer doesn't really address the fundamental problem of securing thousands of student accounts, lest they become unwitting victims and targets of bad actors.</span></p>
    <p><span>Duo addresses several critical security issues for students. Each year we see a growing trend of student accounts being compromised, this often results in them losing access to their account through identity theft, or losing money through various scams. "In 2022, DoIT Security reset passwords for over 1000 undergraduates and several hundred graduate students because of known or suspected compromises,"  according to <strong>Andrew Smith</strong>, Director of Information Security. </span><span>In most cases, having Duo would stop these incidents and protect the students.</span></p>
    <p><span><em>Lessons Learned So Far</em></span></p>
    <p><span>There is one key difference in how Duo is being rolled out for 10k students vs. 3k employees: The </span><a href="https://wiki.umbc.edu/x/2AR4B" rel="nofollow external" class="bo"><span>Call Me function</span></a><span> (available to employees) is not available for students because it is not considered best practice and can be abused by hackers. Alternatively, if students don't have a mobile device they keep with them, they can use a </span><a href="https://wiki.umbc.edu/x/hIBnB" rel="nofollow external" class="bo"><span>hardware token</span></a><span> available through the DoIT Technology Support Center. </span></p>
    <p><span>"Unfortunately, with the IS and CS/EE rollout, we have seen a few students mistakenly enroll a landline -- even when selecting the "mobile phone" option -- which will effectively lock them out of their account because landlines cannot scan the QR code to activate the Duo Mobile app or receive SMS passcodes," says </span><span><strong>Andrea Mocko</strong></span><span>, Manager of DoIT's Technology Support Center (TSC).     <Title>Event ticket sales paused due to vendor security concerns</Title>

          <span><p><span>UMBC has been informed that a third-party vendor for campus event ticketing, AudienceView (also known as University Tickets), recently experienced a payment card data security breach with its online Box Office services. </span><span>The vendor has advised us that no UMBC information was compromised</span><span>. However, in an abundance of caution, we have suspended online Box Office ticket sales through UMBC's online event ticket portal effective immediately, and until further notice.</span></p>
          <p></p>
          <p><span>Until this issue is resolved, traditionally ticketed events may be open (unticketed) or use alternative payment methods. For information about attending specific events, please see the event websites for </span><a href="https://umbcretrievers.com/index.aspx" rel="nofollow external" class="bo"><span>athletics</span></a><span>, </span><a href="https://umbc.edu/life-on-campus/arts-and-culture/" rel="nofollow external" class="bo"><span>the arts</span></a><span>, and </span><a href="https://studentaffairs.umbc.edu/news-events/events/" rel="nofollow external" class="bo"><span>Student Affairs</span></a><span>.</span></p>
          <p><span>UMBC's Division of Information Technology has records of everyone who used the online ticket portal and has reached out to those who may have been affected. The national breach involves ticket purchases in the month of February. We strongly encourage anyone who purchased tickets through the ticket portal in February to review their credit card statements immediately, contact their banking institution regarding any suspicious transactions, and report the suspicious transactions to </span><a href="https://police.umbc.edu/" rel="nofollow external" class="bo"><span>UMBC Police</span></a><span>.</span></p>
          <p><span>We will provide additional information regarding future ticket sales once the matter is resolved.</span></p>

  <Title>Webex Recording Retention Policy Changing March 6th</Title>

    <div class="html-content"><span><p><span>Beginning Monday March 6th UMBC’s retention policy for Webex messages, recordings and other storage will change from indefinite to 3 years for meeting recordings and transcripts and 5 years for messages, files, and whiteboards. All content older than the retention period described above will be automatically deleted. </span></p>
    <br><p><span>Webex, like many companies, is recognizing that the indefinite, unlimited storage model is not sustainable long term and is adjusting its policy to reflect that. UMBC’s adoption of Webex occurred predominantly in April of 2020 when the campus shifted to remote work and so UMBC’s new retention policy of 3 and 5 years, as described above, doesn’t pose an immediate concern for many. However, Faculty, Staff, and Students are urged to save important Webex content now before data is lost. DoIT recommends that any critical recordings and transcripts be downloaded and stored on Google Drive or MS Onedrive. Furthermore, users should consider how they store Webex content and develop a practice of moving important files, messages, recordings and transcripts to other locations periodically. </span></p>
