Instructors might import questions using third-party tools or publisher test banks, if compatible or available. Beginning with the June update to Ultra, instructors can <a href="https://help.blackboard.com/Learn/Instructor/Ultra/Tests_Pools_Surveys/Reuse_Questions/Upload_Questions" rel="nofollow external" class="bo">create up to 250 questions offline</a> in a tab-delimited TXT file and upload into an Ultra test or assignment.</div><div><br></div><div><img src="https://help.blackboard.com/sites/default/files/images/2023-05/learn_ultra_instructor_TestsAndAssignments_Upload%20questionsFromA%20File_TestCreation_UploadOption.png" width="500" alt="Image 1: Instructor view – ‘Upload questions from file’ option in tests.   <Title>Reminder: Blackboard Courses Scheduled for Server Retirement</Title>
  <Tagline>Courses before Fall 2020 to be retired beginning 7/1</Tagline>

    <div class="html-content"><div><span>During Summer 2023, DoIT staff and Blackboard will archive our entire instance of Blackboard, which will save individually backed-up copies of every course and organization through SP2023. Courses offered before and including AY19-20 will be retired by the end of FA2023. </span></div><div><br></div><div><strong>Beginning July 1</strong>, courses offered from the following terms will be scheduled for retirement:</div><div><br></div><div><ul><li>Any courses older than five years</li><li>Fall 2019</li><li>Winter 2020</li><li>Spring 2020</li><li>Summer 2020</li></ul></div><div><br></div><div>The Blackboard system's overall performance and efficiency will improve by removing files and database transactions from the content server and database. AY20-21, AY21-22, and AY22-23 will remain on the server. Fall 2023 will begin a new academic year of data retention (AY23-24).</div><div><br></div><div><strong><u>FAQs about Course Retirement</u></strong></div><div><br></div><div><strong>Is my content gone forever?</strong></div><div><br></div><div>No, Blackboard archived courses captured all course data, files, student submissions, discussions, grades, etc. through SP2023. These archives will reside on a secure cloud storage location.</div><div><br></div><div><strong>When will I lose access to courses that are being retired?</strong></div><div><br></div><div>The archiving process will begin on <strong>July 1st</strong>. <a href="http://my.umbc.edu/go/request-help" rel="nofollow external" class="bo">Faculty can place an RT ticket</a> to have their course content restored through November 2023. </div><div><br></div><div><strong>Can I save a copy of my own courses?</strong></div><div><br></div><div>Yes -- and it is strongly encouraged! Instructors can <a href="https://wiki.umbc.edu/x/FIBaAQ" rel="nofollow external" class="bo">export</a> (course content) and/or archive (course content &amp; student data) their courses. You should also <a href="https://wiki.umbc.edu/x/b4B1AQ" rel="nofollow external" class="bo">download a copy of your gradebook</a>. We recommend saving these files to UMBC's cloud storage to ensure long-term access in the event you change computer systems.</div><div><br></div><div><strong>Can I restore (regain access to) only course content?</strong></div><div><br></div><div>Yes. Course content consists of files and course structure (menu, folders, etc.). Faculty can only <a href="https://wiki.umbc.edu/x/HYBaAQ" rel="nofollow external" class="bo">import</a> course content to an existing Blackboard course shell.</div><div><br></div><div><strong>Can I restore course data?</strong></div><div><br></div><div>Course data consists of student submissions, discussions, and grades. We generally prefer not to restore full courses to avoid reinstating user accounts and confusing students with old content. If you must restore archived course data, please open an RT ticket with justification included.</div><div><br></div><div><strong>How long will you keep the retired courses?</strong></div><div><br></div><div>We will keep the retired courses for approximately 2 years after Blackboard archives the courses.   <Title>More Departments Move to Fully Adopt Ultra for Fall 2023</Title>

    <div class="html-content"><p><span>Given UMBC will be </span><a href="https://doit.umbc.edu/news/post/130227/" rel="nofollow external" class="bo"><span>migrating to Ultra</span></a><span> by the start of Winter 2025, five more departments will fully adopt Ultra for Fall 2023, The following departments join </span><a href="https://theatre.umbc.edu/" rel="nofollow external" class="bo"><span>Theater</span></a><span> and </span><a href="https://gwst.umbc.edu/" rel="nofollow external" class="bo"><span>Gender, Women's, + Sexuality Studies</span></a><span> in applying a consistent look and feel for their students when courses are created every semester:  </span></p><ul><li><p><a href="https://amst.umbc.edu/" rel="nofollow external" class="bo"><span>American Studies</span></a></p></li><li><p><a href="https://education.umbc.edu/" rel="nofollow external" class="bo"><span>Education</span></a></p></li><li><p><a href="http://ehs.umbc.edu/" rel="nofollow external" class="bo"><span>Emergency Health Services</span></a></p></li><li><p><a href="https://erickson.umbc.edu/" rel="nofollow external" class="bo"><span>Erickson School of Aging Studies</span></a><span> </span></p></li><li><p><span><a href="http://mathstat.umbc.edu/" rel="nofollow external" class="bo">Mathematics/Statistics</a></span></p></li></ul><p><span>Additionally, at least eight foreign languages in the</span><a href="https://mlli.umbc.edu/" rel="nofollow external" class="bo"><span> Modern Languages, Linguistics, and Intercultural Communication</span></a><span> department have been fully using Ultra for the last year including Arabic, Chinese, Japanese, Korean, and Spanish. English 100 and IHU courses also <a href="https://doit.umbc.edu/post/115747/" rel="nofollow external" class="bo">leverage an all-Ultra adoption</a>.</span></p><p><span>Instructional Technology offers the following course creation and conversion support for department adoption of Ultra:</span></p><p><span>1. For departments or disciplines that want to adopt Ultra by default, </span><span><strong>Blackboard course shells can be designated as Ultra </strong></span><a href="https://wiki.umbc.edu/x/eYHGAw" rel="nofollow external" class="bo"><span>when courses are created</span></a><span>. This approach can be especially helpful for instructors who are new to UMBC and need to quickly prepare course resources.</span></p><p><span>2. If departments decide to adopt Ultra after courses are created, we can </span><span><strong>bulk convert Original courses to Ultra</strong></span><span> in early August or early January before the semester starts. Using this approach, courses start in Original </span><span>before content is added and students begin to work</span><span>, but switch to Ultra with the assistance of Instructional Technology staff.</span></p><p><span>3. If departments want faculty to prepare courses for Ultra over a semester before fully adopting, we can </span><span><strong>bulk copy and convert older Original courses to Ultra</strong></span><span> (e.g., prepare in fall, adopt in spring). Additional time and flexibility are key to this approach, allowing faculty review previously offered courses in Ultra and optimize a redesigned format.</span></p><p><span>Please </span><a href="https://doit.umbc.edu/request-tracker-rt/doit-myumbc-blackboard/" rel="nofollow external" class="bo"><span>open an RT ticket to request</span></a><span> any of these department adoption strategies. Providing the discipline's prefix for the courseID ensures Instructional Technology can quickly identify courses and trigger the conversion process on behalf of faculty, saving time and effort.</span></p><p><span>Finally, we have </span><a href="https://doit.umbc.edu/post/132978/" rel="nofollow external" class="bo"><span>extensive training options</span></a><span> for departments including customized workshops, recording artchives, and other resources.</span></p><p><br></p><div><br>

          <div class="html-content"><p><span>Four Blackboard course tools--ALEKS, Library Reserves, Pearson, and Qwickly--are undergoing updates, taking a significant leap forward by transitioning to the latest </span><a href="https://elearningindustry.com/learning-tools-interoperability-the-future-of-the-lms" rel="nofollow external" class="bo"><span>Learning Tools Interoperability (LTI) standards</span></a><span>: LTI 1.3 and LTI Advantage. Each tool will be updated in late May. Please see below for information about each tool, where to find it, and new features.</span></p><br><h5><span>ALEKS (McGraw-Hill)</span></h5><p><span>The updated </span><a href="https://www.aleks.com/" rel="nofollow external" class="bo"><span>ALEKS Math</span></a><span> tool will include enhancements to Blackboard gradebook synchronization and integrations with McGraw-Hill connect tools. This new feature supports module- and unit-based course organization by giving instructors more flexibility with content placement in Blackboard. Following the update, instructors will find the Library Reserves options in the Blackboard Ultra Content Market. Blackboard Original users will find the Library Reserves home link in course tools and the new deep link tool in Blackboard Original "build content" menu.   <Title>Bb Course Roster Limited to Faculty, TA Roles Starting SU23</Title>

    <div class="html-content"><div><div><div><div><div><p>At the end of May 2023, access to the Blackboard course roster will be limited to certain roles in a Blackboard course. Currently, the course roster is visible to all users, which means anyone can see who is enrolled in the course. </p><p>The standard practice at UMBC is to combine different course sections in one Blackboard shell for ease of content management and communication, unless the instructor <a href="https://wiki.umbc.edu/x/d4HGAw" rel="nofollow external" class="bo">requests separate shells</a>. However, attendance is a protected educational record under the <a href="https://www2.ed.gov/policy/gen/guid/fpco/ferpa/index.html" rel="nofollow external" class="bo">Family Educational Rights and Privacy Act (FERPA)</a>. Specifically, students enrolled in other sections or cross-listed sections should be restricted from viewing or interacting with peers from different sections, <a href="https://www.aacrao.org/resources/newsletters-blogs/aacrao-connect/article/ask-the-ferpa-professor-6-28-2016" rel="nofollow external" class="bo">including viewing rosters</a>, unless those classes share a similar meeting place and time. </p><p>Starting with SU2023, access to the course roster will be unavailable to the student role. </p><ul><li><span>In an Original course, students will not see the Roster link when accessing Other Bb Tools. </span></li><li><span>In an Ultra course, students will not see the Roster on the left Details &amp; Actions menu. </span></li></ul><div>Faculty, teaching assistants, and graders will continue to have access to this tool.   <Title>Blackboard to support student-defined pronouns for SU2023</Title>

    <div class="html-content"><p>As part of planned diversity, equity, and inclusion improvements from Blackboard, the first phase of pronoun support will display student pronouns in courses in time for summer 2023 courses. Providing this information within specific contexts of the course, particularly where engagement and collaboration occur, provides a means for instructors and classmates to address each other in ways that align with individual identity and expression. <br></p><p>Pronouns are visible within many areas of an Ultra course including roster, discussions, groups, and gradebook. Pronoun support is limited in Original courses. This feature helps foster a more inclusive and supportive learning environment for all students. <a href="https://oei.umbc.edu/wp-content/uploads/sites/609/2021/06/UMBC-Pronoun-Training-1.pdf" rel="nofollow external" class="bo">Learn more about using pronouns</a> (pdf).<br></p><p><strong>How do faculty and staff select a pronoun to display in Blackboard?</strong> <br></p><p>At this time, faculty and staff cannot choose a pronoun to display in Blackboard. Students may choose to indicate their pronouns <a href="https://my.umbc.edu/go/profile/about" rel="nofollow external" class="bo">via their myUMBC profile</a>. This information is passed to Blackboard when a user's account is created or the pronoun is selected/updated. A pronoun is not required. If a pronoun is left blank, no information is passed to Blackboard in this field. <br></p><p><strong>How do I keep my pronouns private?</strong> <br></p><p>Users control privacy by opting-in to <a href="https://my.umbc.edu/go/profile/about" rel="nofollow external" class="bo">pronoun selection in myUMBC</a>. If no pronouns are selected, then pronouns are not displayed at all in Blackboard and other UMBC systems. <br></p><p><strong>How do pronouns pass over to third-party tools linked in Blackboard?</strong> <br></p><p>At this time, pronouns are passed over with the user's name to Qwickly Attendance. Pronouns cannot be passed over with the user's name to third-party tools such as VoiceThread, Webex, among many others. While the major learning management systems all support pronouns, web conferencing tools and other engagement platforms have not developed support for this type of data. As new course sections and/or instructors are added to the SOC by </span><a href="https://registrar.umbc.edu/services/classroom-scheduling/" rel="nofollow external" class="bo">Department Scheduling Coordinators</a><span>, corresponding Bb shells are automatically generated overnight. </span></div><ul><li>If you are an instructor, and your name is not associated with the course you are teaching in the <a href="http://my.umbc.edu/go/schedule" rel="nofollow external" class="bo">SOC</a>, please see your <a href="https://swsupport.umbc.edu/scheduling-coordinators/" rel="nofollow external" class="bo">Departmental Scheduling Coordinator</a> to resolve the issue.   <Title>Copy test questions to Ultra question banks in May update</Title>

    <div class="html-content"><div><div><div><div><div>As the spring semester concludes, the May update to Ultra brings several enhancements to assessments, grading, engagement, and content creation. </div><div><br></div><div>Test questions are some of the most valuable resources in a course. Instructors invest significant time and effort creating and refining banks of test questions. These banks help instructors create dynamic, robust assessments or easily reuse questions across various assessments. In the May update, instructors can copy questions from existing assessments into questions banks with the Reuse Question option in the Question Bank. Questions can also be copied from question bank to question bank using this method.</div><div><br></div><div><img src="https://help.blackboard.com/sites/default/files/images/2023-04/learn_ultra_instructor_Tests_QuestionBanks_ReuseQuestions_ReuseSuccessNotification.png" alt="Image 1: Example of notification when questions are copied into a question bank" width="450" style="max-width: 100%; height: auto;"></div><div><em>Image 1: Example of notification when questions are copied into a question bank</em></div><div><br></div><div>When tracking student submissions on an assessment, instructors may need to send timely and contextual outreach. In this update, instructors can sort submissions by type and select students <a href="https://help.blackboard.com/Learn/Instructor/Ultra/Interact/Messages/Send_Messages" rel="nofollow external" class="bo">to send a message</a>. For example, an instructor may wish to send a message to students who haven't submitted the assignment yet. Selecting these students will craft a message interface for instructors to create a custom outreach. Selecting "send as email" ensures the message is sent external to Blackboard. Messages are confidential so students don't know who receives the communication.</div><div><br></div><div><img src="https://help.blackboard.com/sites/default/files/images/2023-04/learn_ultra_instructor_Message_SendMessagesFromSubmissionsPage.png" alt="Image 2: Example of filtering student list by No Submission and selecting those students to send a message" width="450" style="max-width: 100%; height: auto;"></div><div><em>Image 2: Example of filtering student list by No Submission and selecting those students to send a message.</em></div><div><span><br></span></div><div>Grading improvements include updates to rubrics and exemptions. To streamline grading, performance levels and criterion feedback are now hidden by default. However, a quick toggle can easily reveal these longer descriptions when grading. Additionally, when using the rubric, instructors can now quickly navigate using the tab key or up/down arrows. Finally, instructors can access the exemption feature within an by clicking on an individual cell in the gradebook grid view. <a href="https://wiki.umbc.edu/x/vgBYCg" rel="nofollow external" class="bo">Exemptions can also be applied</a> from the submissions page and student detail view. </div><div><br></div><div><img src="https://help.blackboard.com/sites/default/files/images/2023-04/learn_ultra_instructor_Grading_Excemptions_AddExcemptionFromGradebookGridView.png" alt="Image 3: Example of how to add or edit an exemption from the gradebook grid view" width="450" style="max-width: 100%; height: auto;"></div><div><em>Image 3: Example of how to add or edit an exemption from the gradebook grid view.</em></div><div><em><br></em></div><div>Content improvements include faster file uploads and specifying how links open. Instructors and course builders who need to upload many resources into a course may find the new drag and drop folder to upload files to be an efficient way to quickly bring content into a course. Instructors should be mindful of <a href="https://wiki.umbc.edu/x/FwSRAQ" rel="nofollow external" class="bo">quota and file format limitations</a>. <span>Opening links in a new window is generally considered best practice, especially for external websites to avoid browser security features blocking content from loading. However, there may be situations when an instructor or course author prefers linked content to open in a panel in the Ultra course. Instructors can now specify how a web link opens.</span></div><div><span><br></span></div><div><span>Additional updates to Ultra for May include:</span></div><div><ul><li>Managing multiple submissions introduces some complexity for instructors. Blackboard added an attempt selector on the grading page that displays the most appropriate attempt based on the "grade attempts" setting.</li><li>Instructors may prevent backtracking in paged tests to ensure that students progress through the pages of an assessment in a predetermined sequence. </li><li>A new dedicated space on <a href="https://help.blackboard.com/Learn/Instructor/Ultra/Interact/StudentOverview" rel="nofollow external" class="bo">the Student Overview</a> for instructors to take private notes about students in each course. The notes do not travel with the student from course to course and only the instructors or higher roles can access them. </li><li>Two new features were added to the hotspot question (Zoom In/Out and Full-Screen view) to define areas more precisely. </li><li>Instructors can edit gradebook columns for third-party graded activities without assigning them to a category. </li></ul></div></div></div></div><div><span>Faculty should see the latest updates in Ultra courses around May 4-5, 2023.   <Title>Search Ultra content &amp; set up multiple grade schema in April</Title>

    <div class="html-content"><div><div><div><div><div>A grading schema provides a way for an instructor to establish how a grade is calculated and appears to learners. A schema takes points scored on an assessment and compares it to the chart, which is mapped according to specifications defined by the instructor. The default schema in Ultra courses is based on a points or percentage scale to a letter grade.</div><div><br></div><div>In early April, Ultra courses will support multiple grading schema, allowing faculty to add, copy and edit up to 100 different options in a course for how grades are calculated and appear to students. For example, if an assessment is a pass/fail or complete/incomplete, a grading schema can be created to support this scoring method. Instructors and students can now search course content titles to find items in the course -- this includes folders, learning modules, Ultra Documents, file names, assessments, and discussions. When a user types a few letters, the course search function displays a list of matching items by title. Expanding the search results will provide more information related to the course item(s).
