  <Title>DoIT to Host Techfest in Spring 2016 Semester</Title>

    <div>Techfest is an effort to bring together UMBC students, faculty, and staff to share their favorite technologies with the UMBC community through several workshops. Participants will be able to choose which workshops they want to sign up for and all are encouraged to sign up and present a workshop at the event. </div>

  <Title>Meet the DoIT Staff Serving on the Professional Staff Senate</Title>

    <div>The Professional Staff Senate (PSS) represents the interests and concerns of the exempt staff at UMBC. The PSS certifies elections of members to committees as provided in the Plan of Organization and provides a forum for discussion and recommendations on matters involving exempt staff and the welfare of UMBC. </div>
    <div><br></div>
    <div>The PSS also reviews academic and administrative policy as it affects the exempt staff and  develops committees and acts within these committees as a vehicle to serve the membership.</div>

    <div>Stacy Long, Director, Admin Affairs &amp; Research Admin Systems, started the first of her two terms for Spring 2016 this September. </div>
    <div><br></div>
    <div>Kevin Joseph, Director of Data Warehousing and Document Imaging, served 2 years on the PSS and is now serving as a representative of the Council of University System Staff (CUSS) on year one of a two year term. CUSS functions an informed advisory role in administrative areas and in the functional support aspects of academic matters. Kevin also received the <a href="http://facultystaffawards.umbc.edu/presidential-and-board-of-regents-award-2014/#joseph" rel="nofollow external" class="bo">Presidential Distinguished Staff Award in 2014.</a> </div>

    <div>Damian Doyle, Director of Enterprise Infrastructure and Support, is currently serving his first term as a senator for Spring 2016.</div>
    <div> </div>
    <div>Arnold Foelster, Director of Enterprise Academic Systems, is serving his second year as a senator. </div>
    <div><br></div>
    <div>Tom Penniston, Specialist in Instructional Technology, is a CUSS representative who just started his Spring 2016 term.</div>
    <div><br></div>
    <div>While we can't say with certainty because it is has to find records going back that far, according to Jack Suess, this is the biggest group serving in PSS he can remember. Jack said, "I'm thrilled that so many DoIT staff are engaged in campus governance and working with other colleagues from across the university on issues of importance to the UMBC community."</div>

          <h2><span>TSC Student Consultant Job Description</span></h2>
          <br><p><span>Technology Support Center (TSC) student consultants are the first points of technical contact for the UMBC community and those who do well often go on to work in other areas of the Division of Information Technology (DoIT). Minimally, consultants are expected to provide initial triage and support for a wide-range of information technologies including accounts, hardware, instructional technologies, networking, software, telecommunications, and basic web development.</span></p>
          <div><br></div>
          <br><p><span>Responsibilities include, but are not limited to the following:</span></p>
          <br><ul><li><p><span>Provide technical assistance to users by phone, online and in person;</span></p></li></ul>
          <ul>
          <li><p><span>Answer TSC phones in a professional and courteous manner;</span></p></li>
          <li><p><span>Create, update and resolve tickets in the Request Tracker (RT) ticketing system;</span></p></li>
          <li><p><span>Create, update, suggest and recommend relevant FAQ articles to users (</span><a href="http://www.umbc.edu/faq)" rel="nofollow external" class="bo"><span>www.umbc.edu/faq</span></a><span>);</span></p></li>

    <Title>Laptop Loans Available at AOK Library &amp; Gallery</Title>

          <p><em>Thumbnail shows equipment part of the program which includes a choice in either a Dell Latitude or Macbook Pro. Also included with the laptop are their respective chargers and carrying bag. </em></p>

          <p>With support from DoIT, the AOK Library &amp; Gallery has expanded its Equipment Loan Program to include laptops. </p>
          <p><br></p>
          <p>DoIT has provided the program with access to five Macbook Pros and five Dell Latitudes. The laptops are available on a first-come-first-served basis at the Media Desk, located on the second floor on the library. Laptops may be checked out until the Media Desk closes the next day.</p>
          <p><br></p>

  <Title>Reminder-Clicker Orders Due to Bookstore by October 23!</Title>

    <p><span>Faculty who plan to use clickers for instruction during the ​​Spring 2016 semester will need to have <a href="http://bookstore.umbc.edu/SiteText.aspx?id=20446" rel="nofollow external" class="bo">device order</a>(s) submitted to the Bookstore no later than </span><span>Friday, October 23, 2015</span><span>. This deadline allows the Bookstore to shop national wholesalers early for used books and items, prepare for buyback, avoid sending back to publishers leftover stock that will be reused next semester, and notify faculty of any availability problems. </span></p>
    <br><p><span>The University’s due date for textbook and course materials information is Monday, November 24, 2015.</span><span> The University has instituted this deadline so that all textbook information, including clicker requirements, may be posted on the Bookstore's website, in adherence with State Law, as students prepare for their Spring 2016 schedules.</span></p>

    <Title>How to Transition Your UMBC Email to Gmail</Title>

          <div>In 2010, DoIT began moving users from UMBC hosted email to UMBC Gmail, with new UMBC accounts being created with Gmail. </div>
          <div><br></div>
          <div><span>Many faculty and staff who didn't convert to Gmail when it was first launched did not know that they can move to Gmail at any time and take advantage of the features found in Gmail. Faculty and staff are not required to migrate but DoIT wants everyone to know that this is always available and will assist in the transition process if needed.</span></div>
          <div><br></div>
          <div>Your email address will not change. Once you choose to migrate your mail account to Google@UMBC, DoIT will make changes behind the scenes that will allow your mail to be delivered to the new Google@UMBC environment. </div>
          <div><br></div>

          <div>Benefits of switching include a much improved email system and greater support from the employees of the Technology Support Center due to its current students not having access to the legacy system. There is also a <a href="https://wiki.umbc.edu/display/faq/Migrating+to+UMBC+Gmail" rel="nofollow external" class="bo">collection of FAQs</a> that will walk you through the process. </div>

          <a href="https://wiki.umbc.edu/pages/viewpage.action?pageId=5244867" rel="nofollow external" class="bo">Before migrating</a>, There are a few things you can do prior to migrating to make things easier on you. Clean up your existing mail by deleting old mail and folders. After that, move any Local Mail Folders on your computer's hard drive to your existing UMBC mail account before your migrate. </div>

          <div>Copying these local messages up to your existing UMBC mail account will make them available to our migration tools when you choose to opt in and they will be moved to your Google@UMBC account for you.</div>
          <div><br></div>
          <div>Migrating is a simple, and it starts by clicking a <a href="https://webadmin.umbc.edu/admin/Accounts/Gmail" rel="nofollow external" class="bo">migration link</a> that will launch a script, copying your locally hosted email to the UMBC Gmail environment.</div>
          <div><br></div>
          <div>From here you have the option of changing your password. You only need to change your password if you want to access your mail from your phone, tablet or a desktop mail client AND you haven't changed your password since January 1, 2014. If you changed your password after that date, it is already synchronized.</div>

  <Title>Online Learning Consortium Offers Free Faculty Training</Title>

    <p><span>Through a University System of Maryland partnership with the Online Learning Consortium (OLC), DoIT is pleased to offer an exceptional online training opportunity to UMBC full-time and part-time faculty.</span></p>
    <p><span>The OLC workshop format utilizes proven teaching strategies and learning activities while modeling best practices for online and hybrid learning. Participants engage with experienced instructors and collaborate with peers via synchronous (live) and asynchronous environments. Normally these workshop cost about $300 each, but </span><strong><span>our partnership provides a limited number of seats at </span><span><em>no cost</em></span><span> to UMBC faculty</span></strong><span>.</span></p>
    <p><span>These workshops require a time commitment of 3-7 days on average with some lasting up to 3 weeks. All workshops are delivered online with either a synchronous or asynchronous component.     <Title>Requesting Software for Lab and Lecture Hall Image</Title>

          <div>In order to load all lab and lecture hall PCs with our standard set of software (known as an "image"), all requests for additions or changes for Spring 2015, the lab &amp; lecture hall software "image" deadline is Saturday, Oct 31. <a href="https://wiki.umbc.edu/x/BofHAQ" rel="nofollow external" class="bo">All software requests must be made each semester </a>(see instructions below).</div>
          <div><br></div>
          <div>To be added to the lab &amp; lecture hall image, DoIT must have the following:</div>
          <div><br></div>
          <div>- Proof of purchase/licenses</div>
          <div>- Media and software installation instructions</div>
          <div><br></div>
          <div>Please submit an RT ticket containing the required information or contact 410.455.3838 and a Technology Support Center (TSC) staff member will assist you. If the request is not received by the deadline, we can not guarantee the requested software will be made available.</div>
          <div><br></div>
          <div>For an instructor-only demo of software, please use a laptop. If you don't have a laptop, you can reserve by <a href="http://doit.umbc.edu/request-av-services/" rel="nofollow external" class="bo">completing the AV Services Request Form</a>.  It will be available for pick up at AV Services (020 ENGR Bldg).  Please allow 2-3 days for the request.</div>
          <div><br></div>
          <div>If you need software installed on the lab image for a one-time purpose (for example, a 2-day workshop in which all users need access to the software), the request should be submitted no less than six (6) weeks prior to the first lab reservation for that class. The software will be removed once you are finished.</div>
          <div><br></div>
          <div>An e-mail confirmation of the RT ticket will be sent to the requester once the software is installed, typically 1-2 week(s) before the first use of the software; faculty/instructors need to then test the software to ensure everything is working as expected for class. Support for the software is the responsibility of the instructor or department who requested that the software be installed.</div>
          <div><br></div>
          <div>Again, proof of purchase and/or license must be provided for as many copies as will be needed for the students in the class. We cannot install software without appropriate proof of licensing.</div>
          <div><br></div>
          <div>Although DoIT will make every effort to get all software packages to work, we can not guarantee that they will. Some packages may not function in our environment as they must coexist with many other applications.   <Title>Avoid Use of Force Complete on Blackboard Tests</Title>

    <div class="html-content"><span><p><span>As midterm evaluations continue this week, the instructional technology team reminds faculty about the challenges of using Force Complete for assessments distributed through Blackboard.</span></p>
    <p><span>When originally developed, Force Complete was intended to prevent students from navigating away from an assessment to minimize cheating. When the students left an </span><span>assessment</span><span>, Blackboard would submit whatever answers had been completed. However, if students encountered technical issues, such as losing an internet connection while on wi-fi or clicking too quickly through </span><span>assessment</span><span> questions, the test engine would consider that to be an attempt to leave the </span><span>assessment</span><span> -- even if it was a technical problem. If students are locked out of their </span><span>assessments</span><span>, the TSC and DoIT staff will NOT reset a student's </span><span>assessment</span><span> attempt. Students MUST contact the instructor of record to allow them to start over with a new attempt.</span></p>
    <p><span>Since Force Complete has the potential to cause numerous frustrations for students and faculty alike, we recommend four strategies:</span></p>
    <ol>
    <li>
    <strong>Only use Force Complete in an on-campus, hardwired and proctored environment</strong><span> so that any technical issues can be immediately addressed by the instructor or proctor. </span>
    </li>
    <li>
    <strong>Use the Set Timer and Auto Submit</strong><span> options. For example, if a student loses his internet connection for 10 minutes on a timed test, at least he can access the test again and continue. When the exam period expires, Blackboard will collect the student’s responses and submit them to the grade center. </span>
    </li>
    <li>
    <strong>Limit availability to the assessment</strong><span>. Reduce the window of opportunity to take an assessment to a smaller timeframe. For example, if you normally give students five days to take an example, decrease the number of days to two.</span>
    </li>
    <li>
    <strong><span>Use the </span><a href="https://wiki.umbc.edu/x/BgT1Ag" rel="nofollow external" class="bo"><span>Respondus Lockdown Browser</span></a></strong><span>, a custom application that students from copying/pasting, screen capturing, printing, chatting, and accessing other applications. </span>
    </li>
    </ol>
