  <Title>Meet TSC Senior Student Consultant Christian Oyson</Title>
  <Tagline>A look into everyday life at the Technology Support Center</Tagline>

    <div>For over a year, Christian Oyson has worked Tier 1 support for the <a href="http://doit.umbc.edu/tsc/" rel="nofollow external" class="bo">Technology Support Center (TSC)</a> here at UMBC, providing assistance to students, faculty and staff. Oyson, a senior majoring in Informations Systems with a minor in Computer Science, started out at the TSC in summer 2014 as a student consultant. On a daily basis, the TSC gets a variety of calls ranging from user accounts, computer issues, phones, to internet complications and blackboard assistance. “If it’s anything technology related, we can try to assist you.” says Oyson. </div>

    <div>On average, working at the TSC fluctuates depending on the hour and how many people are on duty. During a regular semester, there are two to three students working at a time and get about ten calls per shift. “Most people that call us do tend to be friendly,” says Oyson “but sometimes we can get calls from people frustrated on their issue and we do what we can to keep them calm while assessing the situation.”</div>
    <div><br></div>
    <div>Not all calls lead to a complex solution. Oyson recalls one call he had that was a simple fix involving a user who could not turn on their computer even though everything appeared fine. He had asked them if the computer was plugged in securely to an outlet, to which the user replied that it was plugged into a power strip. Oyson then followed up with his question and asked if the power strip was turned on, something the user did not think of. “The next thing I hear on the phone were happy cheers and sighs of relief.” Oyson said “I guess the saying "Try turning it on and off again" does come in handy.”</div>

    <div>Not every call is as easy, and when it is really busy, such as during the first few weeks in the beginning of the semester or during a campus wide situation, the TSC springs into action. Oyson says “If it gets extremely busy, all hands on deck. Depending on how many are on duty, we have a rotation system determining who takes the call, but if things get really busy, then whoever is available has the call.” </div>
    <div><br></div>
    <div>Joining the TSC can be a great opportunity to break into the tech field and boost your communication skills according to Oyson. He mentions that starting out is challenging, but it gets easier as it goes on. “At the TSC, we talk to people from all walks of life: Old and young, tech experts and novices, and people from around the world.” Oyson says “You really don't know who you are talking to until you answer the call. With that said in mind, be ready and familiar with various approaches on how to tackle on a situation.”</div>
    <div><br></div>
    <div>Oyson will continue his work at the TSC through the upcoming fall semester. “I plan to continue working this position until I graduate in the spring of 2016 gaining as much knowledge and experience I can in preparation for the IT career ahead of me” Oyson said.</div>

    <Title>Kudos to Tom Penniston on New Book Chapter</Title>

          <div><br></div>
          <div>DoIT would like to recognize its own Tom Penniston on the publication of the book chapter “Service Learning and the Acquisition of Social Capital in the Community College Setting.” For this project, Penniston and co-author Amy Pucino conducted interview research to investigate how service-learning participation helps community-college students develop formal and informal relationships and access resources, such as letters of recommendation.</div>
          <div><br></div>
          <div>The findings of the research highlight the connections students forge through participation in service-learning. “When students stepped out of their comfort zones, they were able to build and connect with social capital, which may be of special importance to community-college students” (Pucino &amp; Penniston 2014). Penniston, who earned his Ph.D. from UMBC in 2014, believes these experiences support students’ academic and professional success.</div>

At times, people may incorrectly appear as part of a department, so it’s important to keep the directory updated as correcting this problem depends on the person’s affiliation with UMBC. </div>

          <div>To navigate to the directory listings page, log in to myUMBC and mouse over your name, on the drop down menu <a href="https://my.umbc.edu/settings" rel="nofollow external" class="bo">click profile</a> and then navigate to Online/Print Directory Info link at the bottom. If you do not see your department listed, <a href="https://rt.umbc.edu/SelfService/Create.html?Queue=408" rel="nofollow external" class="bo">submit a ticket with the UMBC Technology Support Center</a> to have it made available.</div>

  <Title>Collaborate with Classmates via Virtual Study Spaces</Title>

    <div class="html-content">This summer, students have a new option for virtual collaboration: Study Spaces powered by <a href="https://wiki.umbc.edu/x/OoKgAw" rel="nofollow external" class="bo">Blackboard Instant Messenger</a>.<div><br></div>

    <div>Blackboard Instant Messenger (IM) is an academic-centric instant collaboration app designed to promote learning and support virtual group work. Blackboard IM synchronizes with our Blackboard Learn course enrollments, which means that students are automatically connected with other Blackboard IM users enrolled in the same courses. </div>
    <div><br></div>
    <div>Blackboard IM includes a range of features to allow everyone to collaborate and communicate quickly and easily.</div>
    <div>
    <ul>
    <li><span>Chat via keyboard to communicate quickly and efficiently with your classmates</span></li>
    <li><span>Call via audio or video for more natural communication with one-on-one or group conversations</span></li>
    <li><span>Collaborate in real time to share ideas with others</span></li>
    <li><span>Screen Share for real-time display of any document or application on your computer</span></li>
    <li><span>Use whiteboard tools to annotate PowerPoint and images</span></li>
    </ul>
    <div>Faculty and departments can use Blackboard IM to set up virtual office hours and <a href="https://wiki.umbc.edu/pages/viewpage.action?pageId=60850837" rel="nofollow external" class="bo">virtual support centers</a>, allowing queues for individualized attention.</div>

    <div>Blackboard IM is similar to many other instant messaging tools including Skype, Google Talk, AIM, Windows Live, etc., however, Blackboard IM is fully integrated into the Blackboard Learn system. Each semester, courses will synchronize and provide a robust contact list. There's no need to figure out what app to use for chatting or keep track of everyone's logins and handles -- Blackboard IM will be ready! Just login and start collaborating. </div>

  <Title>Reminder: Campus Website Upgrade This Saturday Morning</Title>

    <p><span>We wanted to remind everyone that on <strong><span>Saturday June 13th</span> around 8am</strong> we will be migrating the main campus website environment so it is running on new hardware and software. This past fall an emergency preparedness exercise was conducted by the campus and it became clear that in the event of an emergency one of our main methods of communications, the campus web server, would be unable to respond to the demands placed on it. The new web environment will be running a modern set of web protocols and the infrastructure will be able to scale and meet the demands of the campus moving forward.</span></p>
    <br><p><span>To help prepare for this transition we have been working with OIA to test compatibility between the main website as well as some of the departmental websites hosted on the main campus web server. We have been working with various departmental web administrators throughout the campus to help make this transition as smooth as possible. </span></p>

    <Title>Locating Our Confidential Data</Title>
    <Tagline>Identity Finder is being installed to help reduce our risk.</Tagline>

          <span>In an effort to try and detect confidential data on university-owned systems and reduce the risk that UMBC will be the source of a data breach, UMBC has worked with the university system to purchase a program called Identity Finder.  Identity Finder is a program that runs in the background on computers and looks for information like SSNs and credit card numbers.  The program will make a list of the files that contain this information, but will </span><strong><u>not</u></strong><span> modify or delete the files.  Once we receive the lists of files that possibly contain confidential data, we </span>will<span> work with each machine's owner to </span>determine<span> how to best manage data.</span>
          </div>

          <div>We have been running the program, for almost a year, in the departments that process and store SSNs and credit cards as a standard part of their business.  Starting this week, we are pushing the program out to all centrally managed UMBC machines.  The software will be installed automatically on each system, through Active Directory,  and members of the UMBC community should not need to do anything.  If anyone sees an impact from the installation of Identity Finder or has any questions, they should contact the DoIT Technology Support Center at x53838.  </div>

  <Title>iPads Elevate New Student Day at UMBC</Title>
  <Tagline>How technology enhanced one of the busiest events on campus</Tagline>

    <div>UMBC is always busy on New Student Day with several events happening throughout the day. Before any of that can happen, both new students and parents need to first sign in. This year, the Office of Financial Aid and Scholarships used iPads to enhance the experience for parents and new students, creating a new and improved process. </div>
    <div><br></div>
    <div>In the past, parents had to stand in long lines and used a ticket system. Now, with RT powering the login system on the iPads, parents could skip the long lines and ditch the ticket system. Colleen Lindbeck, Associate Director at Office of Financial Aid and Scholarships said “We had greeters to help families login to the iPads,” [with the] signup screen up and ready,” </div>
    <div><br></div>
    <div>Parents did not pass around one iPad; Lindbeck says there were 3-4 tablets at a time being passed around, preventing a backup of people from logging in. “Families were very receptive to it, we got good feedback.”</div>
    <div><br></div>
    <div>This is just one example of how iPads can help enhance events and not detract from them. The whole process overall creates no paperwork to manage and everything is automatically tracked digitally.</div>
    <div><br></div>
    <div>Imani Smoot, a student assistant on New Student Day, had nothing but praise for incorporating iPads. “I loved using the iPads for New Student Day. It was a lot more convenient and organized than the previous system we used,” said Smoot. “I also think parents and students were receptive to the use of the technology as well.”</div>
    <div><br></div>
    <div>Smoot knows first-hand what the previous system was like, and the difference is night and day. Before assisting for New Student Day, she helped prior years as a greeter. Smoot said “The process this year went much smoother with the use of the iPads when compared to last year. I feel like the iPads made it so that me and the other workers had more flexibility and control over the process as well.”</div>

    <div>Next year, Lindbeck plans on using iPads again, with more training for staff and the possibility of adding even more iPads for parents and students to use. “I was extremely happy with the outcome, feedback, and how smooth the process went.”</div>

    <div>Smoot echos that same feeling, and said “I would hope that we would never have to go back to the old system after trying this new iPad system. It was overall, much more efficient.”</div>

  <Title>UMBC Now Offers Microsoft Office</Title>

    <div>In addition to online access to all Microsoft Office products, including Word, PowerPoint and Excel, UMBC students, faculty and staff now have access to 1 Terabyte of cloud storage through Microsoft Office 365 and its related OneDrive.</div>

    <div>Office 365 offers both the traditional downloadable software and a browser version. Simply login to my.umbc.edu and you’ll see a small grid panel next to the mail icon to access all your apps. From there, just select Office 365 and you are automatically redirected. You can also go to the site directly by typing <a href="http://my.umbc.edu/go/office365" rel="nofollow external" class="bo">http://my.umbc.edu/go/office365</a> into your browser.</div>

    <div>Damian Doyle, Director of Enterprise Infrastructure and Support, noted how the campus makes great use of the Microsoft Office suite currently. Previously though, it was only licensed to faculty and staff and heavily discounted to students. Now, everyone has access to it on whatever device they want wherever they want, whether on the web or locally. </div>
    <div><br></div>
    <div>“Since Office 365 can be accessed through any web browser it also allows people to utilize the applications on more devices without having to remember to patch and update their software,” says Doyle. “You can also download the stand alone programs from the Office 365 website if you would prefer to have it installed locally or if you will need to run them at times when you don't have an Internet connection.”</div>
    <div><br></div>
    <div>Also included is 1 Terabyte of storage on OneDrive, so you can open any file from any device directly through Office 365. </div>
    <div><br></div>
    <div>Students are already beginning to discover how useful these tools are. “This is huge as I have put all my college documents on there, music, pictures, etc.,” says Bryan McLean, a junior Information Systems major, who has been using OneDrive storage already. “Not to mention, who doesn’t like 1TB of OneDrive cloud storage?”</div>
    <div><br></div>
    <div>McLean is also an advocate for SharePoint, which comes included with Office 365. “With UMBC now allowing students to participate in SharePoint, not only are they getting access to the same tools available to major businesses, corporations, and government agencies, but now everyone has access to MS Office,” says McLean. “So now it doesn’t matter if you have a Mac or PC, you have the same tools.”</div>

    <div>Going forward, Doyle also wants to continue to provide more tools for UMBC faculty, staff and students. “DoIT realizes no one solution fits everyone, we are trying to give people tools to get their work done, whether it's Google Docs, Office 365, the Adobe Suite, we want people to have options and use whichever tool fits what they are trying to do,” Doyle said “If they aren't sure, please don't hesitate to ask, we are more than happy to work with people to try and help them utilize these technologies.” </div>

          <span>The <a href="https://help.blackboard.com/en-us/Learn/9.1_2014_04/Instructor/110_Tests_Surveys_Pools/010_Create_Tests_and_Surveys" rel="nofollow external" class="bo">online assessment tool</a> in Blackboard can be utilized to facilitate meaningful and memorable learning activities for students. These online assessment tools include: surveys, tests, and quizzes. Instructors can set up options for how and when assessments are deployed, and can also include exceptions. <a href="https://help.blackboard.com/en-us/Learn/9.1_SP_12_and_SP_13/Instructor/000_Product_Updates/SP12_New_Features/Test_and_Survey_Options" rel="nofollow external" class="bo">Test Exceptions settings</a> are located on Test/Survey Options</span><span>page during the assessment set up process. These settings allow instructors to select either one student or groups of students and make a number of exceptions to the already established availability settings. Instructors can use exceptions to provide an accommodation to a disabled student, to provide accommodations for technology, language differences, or to (re)deploy a test to one student.  </span><br><p><span><br></span></p>

          <h2><span>TSC Student Consultant Job Description</span></h2>
          <br><p><span>Technology Support Center (TSC) student consultants are the first points of technical contact for the UMBC community and those who do well often go on to work in other areas of the Division of Information Technology (DoIT). Minimally, consultants are expected to provide initial triage and support for a wide-range of information technologies including accounts, hardware, instructional technologies, networking, software, telecommunications, and basic web development.</span></p>
          <div><br></div>
          <br><p><span>Responsibilities include, but are not limited to the following:</span></p>
          <br><ul><li><p><span>Provide technical assistance to users by phone, online and in person;</span></p></li></ul>
          <ul>
          <li><p><span>Answer TSC phones in a professional and courteous manner;</span></p></li>
          <li><p><span>Create, update and resolve tickets in the Request Tracker (RT) ticketing system;</span></p></li>
          <li><p><span>Create, update, suggest and recommend relevant FAQ articles to users (</span><a href="http://www.umbc.edu/faq)" rel="nofollow external" class="bo"><span>www.umbc.edu/faq</span></a><span>);</span></p></li>
          <li><p><span>Provide direct assistance to users on technical issues they cannot easily resolve on their own;</span></p></li>
          <li><p><span>Complete in-person or online training about quality support as defined in</span><a href="http://umbc.edu/go/ticketrubric" rel="nofollow external" class="bo"><span>umbc.edu/go/ticketrubric</span></a><span>;</span></p></li>
