    <Title>LDAP-master and webadmin downtime on 8/21/2014</Title>

          <div class="html-content">Hello all.<div><br></div>
          <div>On Thursday, August 21st starting at 2pm LDAP-Master and Webadmin will be taken down for system maintenance.  During this time account creations and password changes will be unavailable.  Account authentication and logins will not be affected during this downtime.  <div><br></div>
          <div>The maintenance window will allow staff to apply needed security and application updates.  The outage window is expected to last two hours with services being restored by 4pm on Thursday, August 21st.  <div><br></div>
          <div>During the outage window account creations will be queued and then processed upon restoration of services.  If you have any questions or concerns, please contact our Technology Support Center at x53838.</div>

  <Title>Server Patching Friday August 22nd</Title>

    <div class="html-content"><span><p><span>As part of our ongoing commitment to security, the Unix Infrastructure will be conducting its quarterly patching of systems.  While many of the systems will be patched without any service disruption, there are several systems which require the downtime of key services.  The schedule below outlines which key services will be offline and for how long.</span></p>
    <br><p><span>Friday August 22nd, 6pm to 12am</span></p>
    <ul>
    <li><p><span>Access to Cyrus and UMBC Webmail (accounts not migrated to UMBC Gmail) </span></p></li>
    <ul>
    <li><p><span>All mail will be queued up and delivered after the server is patched</span></p></li>
    <li><p><span>Expected to be unreachable from 6pm to 8pm</span></p></li>
    </ul>
    <li><p><span>myUMBC lite page will be up resulting in reduced myUMBC functionality</span></p></li>
    <li><p><span>The sites (wordpress) web hosting environment will be unreachable </span></p></li>
    <li><p><span>The new web hosting environment will be down (pages will be available but any database calls will not work)</span></p></li>
    <li><p><span>All HFS (user) servers will be offline</span></p></li>
    <li><p><span>Student mySQL databases will be offline</span></p></li>
    </ul>
    <ul>
    <li><p><span>RT will be down (expected to be down 6pm to 8pm)</span></p></li>
    <li><p><span>Userpages will be unavailable</span></p></li>
    <li><p><span>Wiki will be unavailable</span></p></li>
    <li><p><span>License5 will be down (</span><span>autodesk, cadence, </span><span>idl, </span><span>schrodinger, xilinx, mathematica)</span></p></li>
    <li><p><span>Student mySQL databases will be offline</span></p></li>
    <li><p><span>Perseus will be unavailable</span></p></li>

          <br><p><span>Technology Support Center (TSC) student consultants are the first points of technical contact for the UMBC community and those who do well often go on to work in other areas of the Division of Information Technology (DoIT). Minimally, consultants are expected to provide initial triage and support for a wide-range of information technologies including accounts, hardware, instructional technologies, networking, software, telecommunications, and basic web development.</span></p>

          <br><p><span>Responsibilities include, but are not limited to the following:</span></p>

    <Title>Departmental shared drive downtime this Friday at 6:00pm</Title>

          <span>As part of our continuing commitment to security the servers that provide the department network shared drives need to be taken down so the operating system can be upgraded and patched.</span><br><br><span>This Friday, July 18th at 6:00pm, these servers will be taken off-line. This will impact connectivity to all network shared drives with letters I: through Z: with the exception of the P: (Peoplesoft) drive. Connectivity to the shared drives should be fully restored by 10:00pm that evening.     <Title>Fall Blackboard Drop-in Hours</Title>

    <Title>DoIT Welcomes Two New Instructional Technology Specialists</Title>

          <p><span>It is with great pleasure and excitement that I introduce and welcome both Holly Bielak and Mariann Hawken to DoIT's Instructional Technology &amp; New Media (ITNM) group. Mariann and Holly join <a href="http://my.umbc.edu/groups/doit/news/31498" rel="nofollow external" class="bo">Tom Penniston</a> as Instructional Technology Specialists in our office.</span></p>
          <br><p><span>Holly (pictured at left) comes to us from Coppin State University where she served as an Instructional Technologist and Trainer and provided assistance and support to faculty, staff and students regarding the use of technology in the classroom and workplace. She also brings experience in the classroom as an adjunct instructor in Information Technology and Education as well as both Blackboard administration and training experience. Holly earned her Bachelor of Arts in American Studies here at UMBC, her Master of Education in Instructional Technology at the University of Maryland University College, and is currently pursuing her Doctor of Philosophy in Instructional Design for Online Learning at Capella University.</span></p>
          <br><p><span>Mariann brings with her from Bowie State University over 14 years of experience working with both graduate and undergraduate faculty to effectively integrate technology into the curriculum and the classroom. She has supported traditional, hybrid, and fully online course design and development and has been selected as a Blackboard MVP by the company for her expertise, experience, and use of best practices with the learning management system. Mariann has also served as an adjunct instructor in English and Communications and has two master’s degrees from the University of Maryland University College: a Master of Education in Instructional Technology and a Master of Distance Education in Teaching &amp; Training.</span></p>

    <Title>Campus webmail to be upgraded on June 19th</Title>

          <p><span>On Thursday, June 19th at 7am, DoIT will be performing an upgrade of the campus webmail environment for our dedicated Cyrus mail servers. The current webmail environment is out of date on both the hardware and software. There will be a brief outage to transition to the new server and no data will be lost during this upgrade.  Anyone logged into webmail prior to 7am will need to restart their browser and login again once the upgrade is completed.  Users of Cyrus webmail will notice a more refined interface with new colors as well as some icons that have shifted location.  </span></p>

  <Title>DoIT Taking Steps to Protect Sensitive Data on our AD server</Title>

    <div>Over the weekend of May17-18, DoIT will be copying  files found on our Active Directory (AD) servers that have sensitive information in them and encrypting those files and storing them in a special location.  DoIT will be glad to work with anyone that requires access to these files for their work or scholarship, we ask you submit a help request ticket or email <a href="mailto:security@umbc.edu">security@umbc.edu</a>.  Before giving you these files back we will have one of our staff contact you and go over procedures for how to safely store and work with files that contain sensitive information in a way that protects the university and individuals. </div>

    <div>We want to thank everyone for your cooperation to date, as DoIT has been working with departments to remediate other places that have this information we have seen great cooperation. We very much appreciate the way the UMBC community has supported the efforts to better protect the information of our students, alumni, staff, and faculty. We know this is abrupt but felt that getting the data in a secure state was of the greatest importance. </div>

    <div>Below is some information to explain this further.</div>

    <div><strong>Why is DoIT removing these files from AD at this time?</strong></div>
    <div><br></div>
    <div>Due to the data breach at UM-College Park, the Regents have instructed all institutions to take additional steps to identify and protect personal information, such as SSN, from being released. The Regents have asked that campuses undertake an inventory to find where this information is stored and take all appropriate measures to protect this information. Under Maryland law, file encryption is one of the recognized measures for protecting information. </div>

    <div><strong>Why the sense of urgency?</strong></div>
    <div><br></div>
    <div>Over the years, DoIT has consistently increased space for users and departments in our Active Directory environment.  The totality of the number of files makes the Active Directory (AD) server critical to protect. Because we feel most of these files were used in the past and most will not be needed immediately, we feel acting quickly is the best course of action to ensure we are protecting the university and each others information.</div>

    <div><strong>What kind of files are being scanned?</strong></div>
    <div><strong><br></strong></div>
    <div>The software that we have scans word, excel, pdf, and images looking for SSN's. Most of the files it will find are old reports dating back many years ago when SSN was regularly used. In many cases, the files may contain on a few SSN's in them.</div>
    <div><strong><br></strong></div>
    <div><strong>How can I find out what files were taken from my account?</strong></div>
    <div><strong><br></strong></div>
    <div>Please submit a ticket, <a href="http://my.umbc.edu/help">http://my.umbc.edu/help</a>, and we will send you back the list of files associated with your names. If you don't notice any files missing it is likely the files we protected were no longer needed.</div>
    <div><strong><br></strong></div>
    <div><strong>How do I get access to my files with SSNs in them?</strong></div>
    <div><br></div>
    <div>You should submit a ticket through <a href="http://my.umbc.edu/help">http://my.umbc.edu/help</a>, we will have someone work with you go over the best way to do this. If you have a time critical issue, please note that in the ticket and we will expedite this.</div>
    <div><br></div>
    <div><strong>What will I do if I need to do if I regularly deal with files that have SSNs in them as part of my job?</strong></div>
    <div><br></div>
    <div>There are options available (encrypted hard drives, UMBCs Box.com service) for securely working with these kinds of files. DoIT will sit down with your staff and understand what your needs are and come up with a solution that meets your units needs but at the same time ensures you are protecting the information and the university.</div>
    <div><br></div>
    <div><strong>Will you continue to scan for sensitive files in my account?</strong></div>
    <div><br></div>
    <div>Yes. We intend to run the process on a regularly basis and scan, at least monthly, all files on Active Directory and remove and encrypt files with sensitive information in them..</div>

    <div><strong>Will DoIT delete these files at some point in the future?</strong></div>
    <div><br></div>
    <div>There are no immediate plans to do this right now. Our plan is to work with units over the next fiscal year to review the files and discuss the best ways to safely handle sensitive data. As part of that process we will ask departments if there are any files that can be safely deleted.</div>

    <Title>LDAP and webadmin downtime on 5/22/2014</Title>

          <span>Hello all.</span><div><br></div>
          <div>On Thursday, May 22nd starting at 2pm LDAP-Master and Webadmin will be taken down for system maintenance.  During this time account creations and password changes will be unavailable.  Account authentication and logins will not be affected during this downtime.  <div><br></div>
          <div>The maintenance window will allow staff to apply needed security and application updates.  The outage window is expected to last two hours with services being restored by 4pm on Thursday, May 22nd.  <div><br></div>
          <div>During the outage window account creations will be queued and then processed upon restoration of services.  If you have any questions or concerns, please contact our Technology Support Center at x53838.</div>
