  <Title>4/1/2025 Webex Disruption</Title>

    <div class="html-content"><span><p><span><strong>Issue:</strong></span><span>Users reported on 4/1/25 that all Webex meetings abruptly ended at 40 minutes. </span></p>
    <br><p><span><strong>Resolution:</strong></span><span>Full Webex capabilities have been restored to the campus, and no further disruptions are expected. </span></p>
    <br><p><span><strong>Details:</strong></span><span> Today’s 40-minute Webex meeting limitation was not DoIT’s idea of an April fools' joke, although we hope the community appreciated an extra 20 minutes between meetings. </span></p>
    <br><p><span>Over the last few months, DoIT has been negotiating a contract renewal for our Webex agreement. Although the negotiations have concluded, </span><span>t</span><span>oday’s disruption was the result of an unsuccessfully executed service extension, which should have maintained service until execution of the new contract completed. </span></p>
    <br><p><span>Shortly after hearing that UMBC was experiencing a service disruption to the Webex environment, DoIT quickly engaged the vendor. Members of the community may have received messages indicating that their meeting had only 5 minutes remaining, and upon reaching the 40-minute mark, the meeting abruptly ended. Webex was able to address the issue, completing the service extension at approximately 3 p.m. Meetings started after 3 p.m. should have complete functionality and not experience the 40-minute limit. </span></p>
    <br><p><span><strong>Ongoing concerns:</strong></span><span> Anyone who is continuing to experience degraded Webex service is encouraged to let us know by contacting us at DoIT </span><a href="https://doit.umbc.edu/tsc/" rel="nofollow external" class="bo"><span>Technology Support Center</span></a><span>. </span></p>

    <p><span>Since Matt joined the New Media Studio, he has excelled not only in video production, encompassing camera operation, editing, directing, and producing live events, but has also become an integral part of the campus. Dustin Roddy, New Media Studio Manager, shares, “I have never had someone embrace UMBC so quickly (despite holding a BA in Electronic Media and Film from Towson). This shows in his attention to detail and customer service skills.”</span></p>
    <p><span>Regardless of whether he is working with staff, faculty, coaches, or students, Matt takes significant pride in his work, and it is evident in the consistently high-quality results he delivers. </span></p>
    <p><span>Matt was crucial this Fall semester, with over 140 live events and video projects produced by the New Media Studio.  </span></p>

We are excited to announce the expanded availability of powerful Artificial Intelligence (AI) tools for the UMBC community.</span></p>
          <h4><span>AI Tools Now Available</span></h4>
          <ul>
          <li><p><span><strong>Google Gemini:</strong></span><span> All UMBC accounts now have access to the free version of Google </span><a href="https://gemini.google.com/app" rel="nofollow external" class="bo"><span>Gemini</span></a><span>. Gemini offers a wide range of AI-powered features that can assist with writing, brainstorming, and information-gathering tasks. There are paid licenses for Gemini Advanced that grant further integration within the Google Workspace suite (Gmail, Docs, Slides, etc); please </span><a href="https://doit.umbc.edu/ai/support" rel="nofollow external" class="bo"><span>send us a ticket</span></a><span> if you’d like to inquire further about Gemini Advanced. Additionally, </span><span>Google has made three new AI services free for ALL licensed users.</span></p></li>

          <li><p><span>NotebookLM - </span><a href="http://notebooklm.google.com" rel="nofollow external" class="bo"><span>notebooklm.google.com</span></a><span>. This tool is great for building simple AI RAG documents and answering questions. </span></p></li>
          <li><p><a href="https://support.google.com/gemini/answer/15719111?hl=en" rel="nofollow external" class="bo"><span>Deep Research</span></a><span> - a tool for doing a deep dive on a topic and generating a customized research plan very quickly. </span></p></li>
          <li><p><a href="https://support.google.com/gemini/answer/15146780?hl=en&amp;co=GENIE.Platform%3DDesktop" rel="nofollow external" class="bo"><span>Google Gems</span></a><span> are now available for all accounts.</span></p></li>
          </ul>
          <li><p><span><strong>Microsoft Copilot:</strong></span><span> Similarly, all UMBC accounts now have default access to the free version of Microsoft </span><a href="http://copilot.microsoft.com/" rel="nofollow external" class="bo"><span>Copilot</span></a><span>. Copilot provides a model for brainstorming, email generation, and more. There are paid licenses for Copilot Pro that grant integration with the Microsoft 365 suite (Word, Excel, Teams, etc); please </span><a href="https://doit.umbc.edu/ai/support" rel="nofollow external" class="bo"><span>send us a ticket</span></a><span> if you’d like to inquire further about Copilot Pro.</span></p></li>
          <li><p><span><strong>UMBC's Instance of Amplify:</strong></span><span> In addition to these widely used platforms, UMBC provides access to Amplify, an innovative AI tool developed by </span><a href="https://www.vanderbilt.edu/generative-ai/custom-software-pilot-amplify/" rel="nofollow external" class="bo"><span>Vanderbilt University</span></a><span>. Amplify provides access to commercial AI models hosted within UMBC's secure cloud environment, including from OpenAI, such as GPT-4o or o1 series, Meta Llama, or Anthropic Claude models. Access to UMBC's instance of Amplify is available to employees (faculty and staff) upon submission of an </span><a href="https://doit.umbc.edu/ai/support" rel="nofollow external" class="bo"><span>access request</span></a><span>.</span></p></li>

          <h4><span>Keeping Information Safe</span></h4>
          <p><span>UMBC has access to several GenAI tools that have been verified as safe to use on UMBC Level 1 and FERPA data, which is intended to keep the information internal to UMBC. We recommend using the UMBC-approved services first. Services that have not been verified should only be used with public information. This change highlights the important shift in the team’s scope moving forward.</span></p>

It also emphasizes the team's expanding role in establishing cybersecurity best practices and the university fulfilling its cybersecurity obligations.           <p><span><strong>About the DoIT Project Management Office:</strong></span><span>DoIT established a Project Management Office (PMO) in the fall of 2023 to ensure consistent project management processes, align project objectives with divisional and university strategic goals, and improve stakeholder communication. The PMO has made significant strides in building a project management framework in DoIT to better support our campus partners in critical IT projects. </span></p>
          <br><p><span>Initial activities to establish the office included defining and streamlining project management processes for consistency and efficiency, introducing portfolio reporting for real-time project progress tracking for stakeholders and IT committees, and launching a new project management tool, Smartsheet, to improve team collaboration and tracking. In the coming year, the PMO team plans to increase its capacity to support projects across campus, continue developing reporting and project management capabilities, and expand project management practices throughout campus.     <Title>Quarterly Patching Downtimes - 2/28 &amp; 3/8</Title>

          <p><span>As part of our ongoing commitment 
          to security, the Unix Infrastructure group will be conducting its 
          quarterly system patching on Friday, February 28th</span><span> and
           Saturday, March 8th.  While many of the systems will be patched 
          without any service disruption, there are some systems which require the
           downtime of key services.  The schedule below outlines which key 
          services will be offline and for how long.</span></p>
          <p><span>Friday, 02/28/2025 between 5pm and 10pm (most systems will only be down for a short period during this time):<br></span></p>
          <ul>
          <li><span>Access to Cyrus (legacy) email (accounts not migrated to UMBC Gmail)</span></li>
          <ul><li><span>All mail will be queued up and delivered after the server is patched</span></li></ul>
          <li>All HFS (afs) servers - gl.umbc.edu home directories will be offline</li>
          <li><span><strong>Between 9:00pm and 10pm only: </strong>Certain software licenses will be unavailable (autodesk, cadence, idl, schrodinger, xilinx, mathematica). </span></li>
          <li><span><strong>Between 9:00pm and 10pm only: </strong>The
           web hosting environments (virthost) will be partially unavailable 
          (pages will be available but any database calls will not work)</span></li>
          <li><span><span><strong>Between 5:00pm and 6:30pm only: </strong></span>LDAP-Master and Webadmin will
           be taken down for system maintenance.  During this time account 
          creations and password changes will be unavailable.  Account 
          authentication and logins will not be affected.</span></li>
          </ul>
          <div>Saturday, 03/08/2025 between 7am and 9am <span>(most systems will only be down for a short period during this time):</span>
          </div>
          <ul><li><span>myUMBC lite page will be up resulting in reduced myUMBC functionality</span></li></ul>

  <Title>Welcome new DoIT Team Members, Leonard &#8216;Lenny&#8217; Frieson III and Mary Arsenault</Title>

    <p><span>We are thrilled to welcome two members to the New Media Studio in the Division of Information Technology: </span><strong><span>Leonard ‘Lenny’ Frieson III and Mary Arsenault</span><span>.</span></strong></p>
    <h4><span><strong>Lenny Frieson</strong></span></h4>
    <p><span><span><img src="https://lh7-rt.googleusercontent.com/docsz/AD_4nXfnYMwSqG1CZpDEVyaK0ocmQ8cqoosS0MZ30w0hMj2MMtOPpiJW6FJI4fRt1J7wipt2IsgpmrTUSM0-Fut8OCBaHppxANCU8uQ19qtA6dihnCmZ2hx5t05WW1Pu3g4raqENALXqrA?key=ERikPeKH6OKg-KteHd01b8N2" width="268" height="402" style="max-width: 100%; height: auto;"></span></span></p>
    <p><span>Lenny joined us on February 24th as a Video Production Specialist reporting to Dustin Roddy. Lenny will be responsible for producing, filming, and editing campus video projects in addition to various roles in campus live streams and sports broadcast events. </span></p>
    <p><span>Lenny graduated from Towson University in the Spring of 2023 with a Bachelor of Science in Electronic Media &amp; Film, with a concentration in Digital Production. He has worked at his father's Church as a multimedia leader, manning the A/V systems since he was 15. During his student years and after graduation, Lenny’s professional career included work as a Videographer, Photographer, and Editor with several studios in the DMV area, including Ross Video Production, Legacy Studios, Shinee Studios, and Hoop Brothers.</span></p>
    <p><span>Lenny also has done work in sports broadcasting for CBS, ABC, and ESPN as a photographer, parabolic mic, and camera operator. In addition, Lenny has worked as a freelancer with Johns Hopkins, Morgan State, Towson University, CAA and CIAA basketball tournaments, and the Premiere Lacrosse League.</span></p>
    <p><span><strong>Fun Fact: </strong></span><span>Lenny is a huge fan of the Ravens, Manchester United, Orioles, Bulls, Wizards, and Bryson Dechambeau, in that order. He is also a huge Marvel fan, despite his favorite superhero being Batman.</span></p>
    <p><span>We’re excited to see Lenny apply his experience and education to grow our New Media Studio and continue serving the campus and its students' educational mission. </span></p>
    <h4><span>Mary Arsenault</span></h4>

    <p><span>Mary joined us on January 21st as a Video Production Specialist. Mary will be responsible for producing, filming, and editing campus video projects in addition to various roles in campus live streams and sports broadcast events. </span></p>
    <p><span>Mary is a graduate of UMBC completing her undergraduate degree in Media and Communications Studies and Psychology in 2018. Mary was an intern at the Studio her senior year, excelling at sports broadcasting, especially replay operations. Mary as an undergrad worked as a Bookstore cashier, staff at Campus Information Center desk, Commons operations, Orientation peer advisor, and Woolie. She was a member of Delta Phi Epsilon (President ‘17-‘18), SUCCESS peer mentor and Psi Chi honors society.</span></p>
    <p><span>After graduating, Mary attended the Disney College Program before landing a job as an account manager at Jellyfish, a marketing and creative agency in downtown Baltimore. Her clients included Google. Most recently, Mary came to us from Shine Creative in Washington, DC, where she was an Assistant Video Editor responsible for over 1,000 political spots and commercials. </span></p>
    <p><span><strong>Fun Fact: </strong></span><span>Mary is a die-hard Baltimore sports fan who attends many Orioles and Ravens games a year. She is also a sneaker customizer who has made over 300 pairs of branded sneakers for clients such as Guy Fieri, Cinnabon, Smalls Sliders, Chicken Guy, and Cosmic Comix. </span></p>
