We are excited to announce that Regina Clowser, Dan Loftus, and Tim Boyle are the recipients of the October Gritty Award!

The Division of Information Technology’s Gritty Award recognizes the outstanding work within the Division and the positive impact individuals have on the campus.

After over four years of dedicated effort, the legacy Rolm phones on campus have all been successfully replaced with new Cisco VoIP phones. This remarkable achievement began in 2018 with a pilot program at IMET, which gained momentum during the 2020 pandemic to address the urgent need for remote and hybrid work solutions.

Regina and her team meticulously collaborated with every academic and administrative department, not only documenting and inventorying existing phones but also facilitating a smooth transition to the new system. This process involved working closely with departments to assess their future needs and promoting the adoption of the Webex softphone. This thoughtful approach provided departments with tailored phone solutions and saved the campus thousands of dollars in unnecessary phone handsets.

Congratulations Regina, Dan, Tim, and their team of students for their outstanding commitment to the campus community!

Cybersecurity Awareness Month: Create Strong Passwords

<Tagline>Strengthen Passwords with Three Simple Tips</Tagline>

1. Use Unique Passwords:

UMBC requires all students and staff to have a strong password for their account to help keep it secure. Find the UMBC requirements for creating strong passwords here.

2. Do Not Reuse Passwords:

Use different secure passwords for all of your personal, banking, and UMBC accounts. If one password were to appear in a data breach that you actively use in other accounts, attackers may try to use this password to access these accounts.

A password manager can be used to manage your different passwords easily. For an additional level of security for sensitive accounts, you can store part of the password in the password manager and add additional characters to the password when you are logging in.

3. Do Not Use Similar Passwords:

When changing your password, UMBC will not let you use a password that has been previously set.

Refrain from using your old passwords and slightly modifying them. For example, if your previous password was D0gL0vEr1, do not change the new password to D0gL0vEr2. This makes it easier for the hacker to guess the new password if they already know the previous password.

Cybersecurity Awareness Month: Avoid Phishing Attacks

<Tagline>Protect data by recognizing & reporting phishing attempts</Tagline>

Phishing

Phishing is the use of deception to acquire passwords, credit card numbers, or other sensitive information from a user. There are many phishing mediums including SMS messages (Smishing), voice calls (Vishing), and email which is the most common phishing medium. Within emails, users should be wary of malicious URLs or attachments.

Phishers typically pose as a trusted entity, such as a system administrator or service provider, in order to scam their victims. Often, these messages will ask for the user to communicate in some other means; for example, a message may request that a victim send an SMS message to a specific number or reply using a personal email address. These messages will also imply some sense of urgency for the request, thus leading an unsuspecting victim to react quickly without first asking themselves whether or not the message is legitimate.

Recent examples of phishing scams at UMBC:

Fake job offers

Google forms requesting usernames and passwords

To spot phishing emails, look out for the following:

Does this email or direct message come from an unfamiliar sender who claims to know you, or a friend who you have not spoken to in a long time? Does the list of recipients contain people you don’t know or talk to? This is particularly true if the message asks for money or personal information.

Email is never secure for sharing this type of information, and most trusted services should already have it.
In many recent phishing messages, the hacker requests that you send them your cell phone number so that they can ask you a question. Why would a legitimate person needing assistance not just ask you the question in the email message, rather than asking for your phone number?

Recent Phishing Campaigns

<Tagline>Passwords are not for Google Forms</Tagline>

Over the past couple days, DoIT Security has been made aware of several phishing campaigns that have been sent out to a number of our alumni, students, and staff. We created this article as a notice to show our UMBC community what these phishing emails look like, and what to do if you receive something similar.

The first phishing campaign stated that the recipient’s account will be deactivated, telling the user to click on a link. The link lead to a Google form that asked the user to fill in their UMBC username, password, and Duo code.

Below is an image of the phishing email that was sent:

If you receive a message that looks like this, please keep in mind that we are not deactivating any accounts nor do we need to verify any accounts, so this email is a scam.

UMBC staff will never ask for your password under any circumstances. Assume that any email asking for your password or Duo information is a scam, and to kindly forward the message to security@umbc.edu for further investigation.

The second phishing campaign involved an email being sent out to students and staff claiming to be a remote job opportunity. This also contained a link to a Google form which asked users to fill out information such as their first and last name, address, personal and school email, occupations, and phone numbers.

Below is an image of the phishing email that was sent:

As mentioned before, UMBC staff will never ask for or require confidential information including but not limited to usernames, passwords, or Duo/two factor authentication codes. Staff members will not ask you to click on any embedded links similar to the one presented in the screenshots above.

Should you have any concerns or questions about the authenticity or safety of an email, link, or form, please do not hesitate to contact us at security@umbc.edu or submit a ticket for us to verify its security for you and/or to investigate the matter further.

Important Notice: Google Quotas Established

    <Tagline>Unlimited Storage is Going Away</Tagline>

The UMBC Division of Information Technology team is taking key steps to continue providing secure accounts and workspaces and ensure your information is protected. Several cloud service providers are phasing out unlimited cloud storage, including Google, Box, and Microsoft.

Google storage has been unlimited for all UMBC accounts for many years, and the amount of data some users have in their accounts has increased drastically. Google no longer provides unlimited cloud storage for higher education users. We must take action to reduce the amount of data we are storing as an institution in Google, and to this end, quotas have been established in Google for all UMBC accounts.

Please note that every effort is being made to ensure existing users in our campus community are not adversely affected by the storage quotas. Your data is important. Existing users have been provided additional space based on their current Google storage use. New UMBC accounts will be given the default quotas below to ensure we remain under our storage limits. To assess your stored data and check your storage usage, visit your Drive storage page.

Key Takeaways

Storage Quotas for Existing Users:

Existing users have a cap that allows them 5GB+ headroom.

If you are a student with less than 3GB, you are in the 5GB quota group. Faculty and staff are provided a minimum of 25GB.

If you currently have 3 - 15 GB, you are in a 25GB quota group.

If you have 15 - 90 GB = 100GB quota.

If you have 90 - 900GB = 1TB quota.

If you have over 900GB = 100TB quota.

If you are a member of the 100TB group, you may be contacted by DoIT to determine if Google is the best place to store your data.

To assess your stored data and check your storage usage, visit your Drive storage page.

Storage Quotas for New Users:

New faculty and staff members will receive a default of 25GB.

New students will receive a default of 5GB.

Where does my storage number come from?

Storage is comprised of data in Google Drive, Gmail, and Google Photos.

Upgrades to Residence Hall Wireless

    <Tagline>Faster Wi-Fi and 2,500+ access points</Tagline>

The Residential Life office (RL) and the Division of Information Technology (DoIT) have partnered to implement a brand-new wireless system for on-campus residents.

Providing technology solutions that enhance the student experience is among DoIT’s core values and through this collaborative project we have:

Improved wireless access for students by enhancing wireless coverage in key areas.

Increased network speeds by installing over 2,500 new wireless access points with Wi-Fi 6 capabilities.

Reduced connectivity challenges by adopting a cloud-native architecture.

Created a personal, home-like experience through the new Retriever Home wireless network.

This project started more than 18 months ago when DoIT began working closely with the Office of Residential Life to test, pilot, and redesign the wireless system throughout the residential complexes. This project is the culmination of that collaboration and has been driven by the experience of student residents through Residential Student Association Townhalls, surveys, and other means of soliciting feedback from student residents.

This project would not have been possible without the tremendous effort of our student employees in the Network and Telecommunications teams of DoIT.

Campus Phone Upgrades

<Tagline>All departmental phones have been converted!</Tagline>

The Division of Information Technology is excited to announce that it has completed the migration of all main campus phones to our new phone system. Beginning in 2020, the project was accelerated to help meet the needs of remote and hybrid work through the integration with Webex. Along with features to support today’s mobile work needs, the new phone system will offer improved resilience and reliability and provides a foundation for growth that will meet the needs of the campus into the future.

Leveraging the Webex platform for calling not only provides staff and faculty with a campus phone number that is available from everywhere but also rounds out a suite of communication and collaboration features, including virtual meetings and messaging, that are natively a part of the Webex portfolio.
