  <Title>Successful Peoplesoft Campus Solutions Migration to AWS</Title>
  <Tagline>Thanks to all involved in DoIT and functional units!</Tagline>

    <div>Our PeopleSoft Campus Solutions environment was migrated to Amazon Web Services (AWS) in the cloud over the weekend of June 7th. This migration also involved moving the Peoplesoft Gateway services that handle all of the communication between all three PeopleSoft systems, and with all of the 3rd party groups and outside entities these systems talk to. This project has spanned multiple years from its inception to this successful implementation and took an immense effort from many groups on campus. </div>

    <div>
    <strong>Key Benefits: </strong>Having the Student Administration system alongside the Finance and HR systems in the cloud will allow us to be more responsive in adjusting service levels for surges at key times of the year like advanced registration, as well as ensuring a very high level of reliability and resiliency that we have achieved with the previous migrations. </div>
    <div><br></div>
    <div>
    <strong>Participants: </strong>The Middleware and Application Infrastructure group led this effort, along with those in Enterprise Systems, Networking, System Administration, Business Systems, Project Management, Business Intelligence, and all of the functional units across campus that helped with coordination and testing to help ensure as smooth a migration as possible. Coordinating this effort between new student orientations, final grade submissions, commencements, advanced registration, the new FAFSA, and more was a monumental effort that required functional users in many areas to complete testing over the weekend, for which we are thankful for their help and support.</div>
    <div><br></div>
    <div>Remarkably, <strong>the</strong> <strong>system was back up and functional in under 24 hours from the start of the migration on Friday evening</strong>. This is a tremendous and almost unheard-of success for such a major set of changes, typically requiring a large amount of outside consulting assistance.  </div>
    <div><br></div>

    <Title>Email delivery issue today (May 29th) from 12-2pm</Title>

          <div class="html-content">Beginning at noon today, users may have noticed emails missing from their inboxes. While addressing another issue, a filter was applied that caused messages in many inboxes to be inadvertently quarantined. <div><br></div>
          <div>DoIT is in the process of restoring all emails to users' mailboxes as quickly as possible. </div>
          <div><strong><br></strong></div>
          <div>
          <strong>Please note</strong>: New email is not impacted and is being delivered normally.</div>
          <div><br></div>
          <div>We are working with Google to expedite the restoration and we will send a follow up message when the missing emails are fully restored.</div>

    <Title>Quarterly patching downtime - 5/23 &amp; 6/1</Title>

          <p><span>As
           part of our ongoing commitment to security, the Unix Infrastructure 
          group will be conducting its quarterly system patching on Thursday, May 23rd</span><span> and Saturday, June 1st.  While 
          many of the systems will be 
          patched without any service disruption, there are some systems which 
          require the downtime of key services.  The schedule below outlines which
           key services will be offline and for how long.</span></p>
          <p><span>Thursday, 05/23/2024 between 5pm and 10pm (most systems will only be down for a short period during this time): <br></span></p>
          <ul>
          <li><span>Access to Cyrus (legacy) email (accounts not migrated to UMBC Gmail)</span></li>
          <ul><li><span>All mail will be queued up and delivered after the server is patched</span></li></ul>
          <li>All HFS (afs) servers - gl.umbc.edu home directories will be offline</li>
          <li><span><strong>Between 9:00pm and 10pm only: </strong>Certain software licenses will be unavailable (autodesk, cadence, idl, schrodinger, xilinx, mathematica). </span></li>
          <li><span><strong>Between 9:00pm and 10pm only: </strong>The
           web hosting environments (virthost) will be partially unavailable 
          (pages will be available but any database calls will not work)</span></li>
          <li><span><span><span><strong>Between 5:00pm and 6:30pm only: </strong></span>LDAP-Master and Webadmin will
           be taken down for system maintenance.  During this time account 
          creations and password changes will be unavailable.  Account 
          authentication and logins will not be affected.</span></span></li>
          </ul>
          <div>Saturday, 06/01/2024 between 7am and 9am <span>(most systems will only be down for a short period during this time): </span>

          <li><span>myUMBC lite page will be up resulting in reduced myUMBC functionality</span></li>

  <Title>Why &amp; How Getting Help is Changing @ UMBC</Title>

    <p><span>DoIT </span><a href="https://doit.umbc.edu/post/140117/" rel="nofollow external" class="bo"><span>launched</span></a><span> a new Help site, </span><a href="http://help.umbc.edu" rel="nofollow external" class="bo"><span>help.umbc.edu</span></a><span>, the week after spring break. After sharing it with different stakeholders on campus and getting some feedback, we wanted to provide more context about why and how Getting Help is changing.<br><br></span></p>
    <h2><span>Why?</span></h2>
    <p><span>The way we work and learn has shifted, with students and staff demanding easy access to online support systems anytime. Given these new post-pandemic realities, as the campus began looking at new service management platforms, it became clear that a new campus-wide help experience was needed. myUMBC Help’s phone number and link-driven page was very helpful when most students were visiting offices in person or calling for support; post-pandemic, these services are expected to be online, searchable, and easy to find and use. This user-focused redesign began with engaging stakeholder offices around campus and students. DoIT employees and stakeholder offices changed their focus of help from what office you visit to what function you want to perform. The new help.umbc.edu prioritizes tasks over departments, offering comprehensive online support for all student, academic, administrative, and computing needs.</span></p>

    <h2><span>How?</span></h2>
    <p><span>The new framework for help.umbc.edu allows us to tie together disparate systems, including the campus knowledge base at </span><a href="http://umbc.edu/faqs" rel="nofollow external" class="bo"><span>umbc.edu/faqs</span></a><span>, many of the service request forms that are part of Request Tracker (RT), DocuSign forms, and direct links to PeopleSoft or cloud systems. The help categories use keywords to find the right support action, and context-sensitive search allows us to show FAQs that may match your search criteria. The use of knowledge and FAQs is being integrated on every level including search, the support category, and increasingly the support forms themselves. We’ve published an FAQ on </span><a href="https://umbc.atlassian.net/wiki/spaces/faq/pages/232390667/How+do+I+navigate+the+help.umbc.edu+website" rel="nofollow external" class="bo"><span>navigating the new experience</span></a><span> if you have any questions about using these new features.</span></p>

    <p><span>A cross-functional team of employees within DoIT came together to make the vision a reality. This included staff experts on the programming, design, content, and stakeholder outreach necessary to make this project successful, including: </span></p>

    <p><span>While we are excited to share the benefits of the new help.umbc.edu experience, we know that once users start using it they will have feedback to improve this. This is the first step, and future improvements will be coming soon. </span></p>

Vice President </span><strong>Joe Kirby</strong> <span>’85, information systems management,</span><span> who led the original help system development that has served UMBC well. Joe’s involvement with the help system has a long history. His article “</span><a href="https://er.educause.edu/articles/2013/8/beyond-the-it-help-desk" rel="nofollow external" class="bo"><em><span>Beyond the IT Helpdesk</span></em></a><span>” (2013) in the EDUCAUSE Review was one of the first explorations on delivering a holistic help system at scale across an institution. Joe served as a consultant and mentor to the help.umbc.edu project team.     <Title>Quarterly patching downtime - 2/23 &amp; 2/24</Title>

          <p><span>As
           part of our ongoing commitment to security, the Unix Infrastructure 
          group will be conducting its quarterly system patching on Friday, February 23rd</span><span> and Saturday, February 24th.  While 
          many of the systems will be 
          patched without any service disruption, there are some systems which 
          require the downtime of key services.  The schedule below outlines which
           key services will be offline and for how long.</span></p>
          <p><span>Friday, 02/23/2024 between 5pm and 10pm (most systems will only be down for a short period during this time): <br></span></p>
          <ul>
          <li><span>Access to Cyrus (legacy) email (accounts not migrated to UMBC Gmail)</span></li>
          <ul><li><span>All mail will be queued up and delivered after the server is patched</span></li></ul>
          <li>All HFS (afs) servers - gl.umbc.edu home directories will be offline</li>
          <li><span><strong>Between 9:00pm and 10pm only: </strong>Certain software licenses will be unavailable (autodesk, cadence, idl, schrodinger, xilinx, mathematica). </span></li>
          <li><span><strong>Between 9:00pm and 10pm only: </strong>The
           web hosting environments (virthost) will be partially unavailable 
          (pages will be available but any database calls will not work)</span></li>
          <li><span><span><span><strong>Between 5:00pm and 6:30pm only: </strong></span>LDAP-Master and Webadmin will
           be taken down for system maintenance.  During this time account 
          creations and password changes will be unavailable.  Account 
          authentication and logins will not be affected.</span></span></li>
          </ul>
          <div>Saturday, 02/24/2024 between 7am and 9am <span>(most systems will only be down for a short period during this time): </span>
          </div>
          <ul>
          <li><span>myUMBC lite page will be up resulting in reduced myUMBC functionality</span></li>
          <li><span>wiki will be down for a short time for some pages<br></span></li>
          </ul>
          <p><span><br></span></p>
