  <Title>Technology Support Center (TSC) Now Operating Remotely</Title>

    <div class="html-content"><span><p><span>As of today, DoIT's Technology Support Center (TSC) will be operating remotely.</span></p>
    <p><span>With the impending renovation of Sherman Hall A Wing, DoIT has agreed to give up its space on the first floor of the Library where the TSC has been located </span><a href="https://doit.umbc.edu/security/post/7805/" rel="nofollow external" class="bo"><span>since 2011</span></a><span>. This is to allow for the expansion of the Academic Success Center, which is being relocated from Sherman Hall to the space occupied by the TSC.</span></p>
    <p><span>Additionally, with the wide adoption of video conferencing and the upgrade to our phone service, we have seen that the vast majority on campus prefers virtual support. Of course, in-person support will be available by appointment and may be requested through </span><a href="http://my.umbc.edu/help" rel="nofollow external" class="bo"><span>my.umbc.edu/help</span></a><span>.</span></p>
    <p><span>Our staff will continue to work remotely during our </span><a href="https://wiki.umbc.edu/x/sgVQ" rel="nofollow external" class="bo"><span>regular hours</span></a><span>, maintaining the same </span><a href="https://doit.umbc.edu/about/metrics/fiscal-year-fy-user-support-reviews/" rel="nofollow external" class="bo"><span>high level of support</span></a><span> we've provided while operating in a face-to-face setting. The majority of our staff has already been working remotely for the past three years.</span></p>

    <Title>Quarterly patching downtime - 5/25 &amp; 6/3</Title>

          <p><span>As
           part of our ongoing commitment to security, the Unix Infrastructure 
          group will be conducting its quarterly system patching on Thursday, May 25th</span><span> and Saturday, June 3rd.  While 
          many of the systems will be 
          patched without any service disruption, there are some systems which 
          require the downtime of key services.  The schedule below outlines which
           key services will be offline and for how long.</span></p>
          <p><span>Thursday, 05/25/2023 between 5pm and 10pm (most systems will only be down for a short period during this time): <br></span></p>
          <ul>
          <li><span>Access to Cyrus (legacy) email (accounts not migrated to UMBC Gmail)</span></li>
          <ul><li><span>All mail will be queued up and delivered after the server is patched</span></li></ul>
          <li>All HFS (afs) servers - gl.umbc.edu home directories will be offline</li>
          <li><span><strong>Between 9:00pm and 10pm only: </strong>Certain software licenses will be unavailable (autodesk, cadence, idl, schrodinger, xilinx, mathematica). </span></li>
          <li><span><strong>Between 9:00pm and 10pm only: </strong>The
           web hosting environments (virthost) will be partially unavailable 
          (pages will be available but any database calls will not work)</span></li>
          <li><span><span><span><strong>Between 5:00pm and 6:30pm only: </strong></span>LDAP-Master and Webadmin will
           be taken down for system maintenance.  During this time account 
          creations and password changes will be unavailable.  Account 
          authentication and logins will not be affected.</span></span></li>
          </ul>
          <div>Saturday, 06/03/2023 between 7am and 8am <span>(most systems will only be down for a short period during this time): </span>

          <li><span>myUMBC lite page will be up resulting in reduced myUMBC functionality</span></li>

  <Title>Update: All Students Req'd to Use Duo</Title>
  <Tagline>Phased rollout continues in Spring 2023</Tagline>

    <p><span>As </span><a href="https://doit.umbc.edu/post/126949/" rel="nofollow external" class="bo"><span>announced</span></a><span> before the start of the Fall 2022 semester, DoIT is proceeding with enrolling all students in the campus' </span><a href="http://my.umbc.edu/go/duo" rel="nofollow external" class="bo"><span>Duo multi-factor authentication</span></a><span> (MFA) account security service by the end of the 2022-23 academic year. This includes graduate students, but since many are also employed as graduate or research assistants, they are automatically enrolled as employees. However, to manage potential support issues, and learn from the wider rollout, DoIT has been proceeding with a phased approach focusing on undergraduates starting last month.</span></p>
    <p><span>Specifically, with dean and chair approval, and review by shared governance groups, DoIT reached out to and/or enrolled 1,053 Information Systems majors in January (about 5% self-enrolled after receiving two messages linking back to DoIT's</span><a href="https://doit.umbc.edu/post/126949/" rel="nofollow external" class="bo"><span> 8/22/22 announcement</span></a><span> with related </span><a href="http://my.umbc.edu/go/duo" rel="nofollow external" class="bo"><span>FAQs</span></a><span>). The rest were automatically enrolled on January 17, 2023, similar to how Duo was rolled out for </span><a href="https://doit.umbc.edu/news/?id=76035" rel="nofollow external" class="bo"><span>all employees</span></a><span>. Then, after the start of Spring 2023 classes, DoIT adopted the same approach with ~2k Computer Science/Electrical Engineering majors, enrolling those who had not done so voluntarily on 2/14/23.</span></p>
    <p><span><em>Why Now?</em></span></p>
    <ol>
    <li><span>The move to an online portal by Retriever Integrated Health for student health information. This information can be highly sensitive and needs second factor protection. </span></li>
    <li>The Department of Education Financial Student Aid requirements now dictate as of June 2023 we work to meet new security requirements aligned with NIST 800-171, which requires stronger authentication practices such as Duo.</li>
    <li>Targeted phishing email attacks to steal student credentials. Students regularly get their account password compromised in phishing emails telling students they have to login using their UMBC email. The MFA provides the added protection so those accounts can't be used for further attacks on UMBC or other students.</li>
    </ol>
    <p><span>While any student can self-enroll now, it is important to reach out to all students when they are more likely to access -- and still control --their account used in many UMBC IT systems. For example, relatively more CS/EE students self-enrolled in Duo </span><span>during</span><span> this semester than IS students two weeks </span><span>before</span><span> it. As such, pushing off the student requirement to winter or summer doesn't really address the fundamental problem of securing thousands of student accounts, lest they become unwitting victims and targets of bad actors.</span></p>
    <p><span>Duo addresses several critical security issues for students. Each year we see a growing trend of student accounts being compromised, this often results in them losing access to their account through identity theft, or losing money through various scams. "In 2022, DoIT Security reset passwords for over 1000 undergraduates and several hundred graduate students because of known or suspected compromises,"  according to <strong>Andrew Smith</strong>, Director of Information Security. </span><span>In most cases, having Duo would stop these incidents and protect the students.</span></p>
    <p><span><em>Lessons Learned So Far</em></span></p>
    <p><span>There is one key difference in how Duo is being rolled out for 10k students vs. 3k employees: The </span><a href="https://wiki.umbc.edu/x/2AR4B" rel="nofollow external" class="bo"><span>Call Me function</span></a><span> (available to employees) is not available for students because it is not considered best practice and can be abused by hackers. Also, DoIT does not want to encourage students to be taking a call in class to authenticate into Blackboard or another IT system. </span></p>
    <p><span>This means students can </span><span>only</span><span> use their mobile devices, preferably with the </span><a href="https://wiki.umbc.edu/x/QoBnB" rel="nofollow external" class="bo"><span>Duo mobile app</span></a><span>, or to receive text-messages with a one-time login code. Alternatively, if students don't have a mobile device they keep with them, they can use a </span><a href="https://wiki.umbc.edu/x/hIBnB" rel="nofollow external" class="bo"><span>hardware token</span></a><span> available through the DoIT Technology Support Center. </span></p>
    <p><span>"Unfortunately, with the IS and CS/EE rollout, we have seen a few students mistakenly enroll a landline -- even when selecting the "mobile phone" option -- which will effectively lock them out of their account because landlines cannot scan the QR code to activate the Duo Mobile app or receive SMS passcodes," says </span><span><strong>Andrea Mocko</strong></span><span>, Manager of DoIT's Technology Support Center (TSC). "However students choose to authenticate, one </span><a href="https://doit.umbc.edu/news/?id=88018" rel="nofollow external" class="bo"><span>best practice</span></a><span> is to enable the </span><a href="https://wiki.umbc.edu/x/M4EaAw" rel="nofollow external" class="bo"><span>remember me for 30 days</span></a><span> option, which will minimize frequent authentication prompts."</span></p>

  <Title>Webex Recording Retention Policy Changing March 6th</Title>

    <div class="html-content"><span><p><span>Beginning Monday March 6th UMBC’s retention policy for Webex messages, recordings and other storage will change from indefinite to 3 years for meeting recordings and transcripts and 5 years for messages, files, and whiteboards. All content older than the retention period described above will be automatically deleted. </span></p>
    <br><p><span>Webex, like many companies, is recognizing that the indefinite, unlimited storage model is not sustainable long term and is adjusting its policy to reflect that. UMBC’s adoption of Webex occurred predominantly in April of 2020 when the campus shifted to remote work and so UMBC’s new retention policy of 3 and 5 years, as described above, doesn’t pose an immediate concern for many. However, Faculty, Staff, and Students are urged to save important Webex content now before data is lost. DoIT recommends that any critical recordings and transcripts be downloaded and stored on Google Drive or MS Onedrive. Furthermore, users should consider how they store Webex content and develop a practice of moving important files, messages, recordings and transcripts to other locations periodically. </span></p>

    <Title>Quarterly patching downtime - 2/24 &amp; 2/25</Title>

           part of our ongoing commitment to security, the Unix Infrastructure 
          group will be conducting its quarterly system patching on Friday, February 24th</span><span> and Saturday, February 25th.  While 
          many of the systems will be 
          patched without any service disruption, there are some systems which 
          require the downtime of key services.  The schedule below outlines which
           key services will be offline and for how long.</span></p>
          <p><span>Friday, 02/24/2023 between 5pm and 10pm (most systems will only be down for a short period during this time): <br></span></p>
          <ul>
          <li><span>Access to Cyrus (legacy) email (accounts not migrated to UMBC Gmail)</span></li>
          <ul><li><span>All mail will be queued up and delivered after the server is patched</span></li></ul>
          <li>All HFS (afs) servers - gl.umbc.edu home directories will be offline</li>
          <li><span><strong>Between 9:00pm and 10pm only: </strong>Certain software licenses will be unavailable (autodesk, cadence, idl, schrodinger, xilinx, mathematica). </span></li>
          <li><span><strong>Between 9:00pm and 10pm only: </strong>The
           web hosting environments (virthost) will be partially unavailable 
          (pages will be available but any database calls will not work)</span></li>
          <li><span><span><span><strong>Between 5:00pm and 6:30pm only: </strong></span>LDAP-Master and Webadmin will
           be taken down for system maintenance.  During this time account 
          creations and password changes will be unavailable.  Account 
          authentication and logins will not be affected.</span></span></li>

  <Title>Update and Resolution around WiFi issues earlier this week</Title>

    <div class="html-content"><span><p><span>I wanted to thank everyone for the quick feedback as we worked through WiFi Issues on Monday that affected several lecture halls and large classrooms. </span></p>
    <p><span>We made changes to the wifi devices in these spaces throughout Monday to resolve the connectivity issues we saw in the morning and afternoon. The problems were largely due to a problem with the network not automatically scaling in response to the demand. Our staff was able to troubleshoot the problem and make a number of adjustments to the system late in the day. These adjustments allowed us to force the devices to increase their power and capacity, ensuring everyone could access the wireless during their classes. </span></p>
    <p><span>Throughout Tuesday and Wednesday we met with faculty just before class to check in, and had staff sitting within the classes to monitor and check on the adjustments we had made. We observed much better performance, and confirmed with faculty and students on both days that they were able to access the network during class without issue. </span></p>
    <p><span>While I regret that the issues on Monday occurred, I really appreciate the cooperation and willingness to  help us get this resolved quickly. We are going to continue monitoring classes in these spaces to ensure everything is working smoothly over the next week.
