Making the Most of Your YuJa Library: Organization Tips for Reusing Imported Content

Now that your media has migrated from Panopto to YuJa, you have access to all your videos in your new YuJa media library. While the migration preserved most of Panopto's course folder structure, faculty may want to review, reorganize, and prepare media using Yuja's user-based structure for the spring semester. This article provides two key strategies for organizing and sharing your videos, and how to get help if you have questions.

1. Organizing Your Migrated Content

Your migrated videos arrived in folders that mirror your Panopto structure, and depending on how you used Panopto, you may find a mix of content that represents prior courses (named by courseID) and folders created manually (e.g., weekly lessons, meeting recordings, etc.). Now is an ideal time to audit and reorganize for the semester ahead. Here's a practical approach:

Start with a content audit. Review what you have and sort videos into categories:

Media to use immediately this semester

Media that needs revision or re-recording

Media to archive or delete (deleted videos remain in your Recycling Bin for 60 days)

Create a folder structure that works for you. In your YuJa "My Media" library, click "New Folder" to build an organizational system. Consider creating folders for each course section, topic theme, or semester. You can create subfolders by double-clicking a parent folder and repeating the process.

Use bulk actions for efficiency. Rather than moving videos one at a time, select multiple items to move or copy them into folders at once. You can also apply tags to groups of videos to make them easier to find later.

Improve your metadata. Give your videos descriptive titles that make sense to both you and your students. Instead of "Video_0001," try "Week 1 Lecture - Intro to Marketing." Adding descriptions or tags also improves searchability across your library.

2. Sharing Your YuJa Content in Blackboard

Once your media is organized, you'll want to make it available to students. However, when it comes to sharing your videos with students, how you link them matters for both accessibility and security. YuJa offers flexible options depending on how you want students to access your content:

Embed videos directly in your Blackboard course. Use the YuJa Media Chooser to embed videos exactly where you need them -- within an Ultra Document, directly on the Content page, in an announcement, test, or discussion. This option gives you the most control over where and how students encounter your media, and ensures that permissions are automatically handled. Learn how to insert YuJa videos in Blackboard.

Publish to your YuJa course channel. When students open YuJa in a Blackboard course, they'll see a channel specifically for your course. If you publish videos to this channel, you'll create a centralized library of course media that students can browse on their own. This works well for supplemental resources or recorded lectures students might want to revisit. Learn about publishing to channels.

Share folders with specific users. Need to share media with colleagues, teaching assistants, or users outside your course? Create folders in your YuJa library and share them with specific permissions (read-only, edit, or full access). You can also generate shareable links for external users. Learn about folder sharing.

3. Getting Hands-On Support: YuJa Video Production Labs

Need dedicated time and one-on-one assistance? Join us for a YuJa Video Production Lab where our instructional technology team will help you upload, organize, and manage your course media. We're offering three sessions in ENG 102:

Tuesday, January 20 | 12:00 - 1:30 PM - register (in person)

Thursday, January 22 | 12:00 - 1:30 PM - register (virtual)

Thursday, February 13 | 1:00 - 2:30 PM - register (in person)

Faculty can sign up for a 30-minute appointment to meet with Instructional Technology staff for a personal consultation about organizing content with folders and tags, optimizing video settings, adding captions for accessibility, and publishing media to courses. We're also offering other sessions on getting to started with YuJa, recording, and editing.

Questions?

If you have questions about YuJa or need help with your migration, check ourYuJa FAQs oropen a support ticket.

Video Migration from Panopto to YuJa Completed on Jan 5, 2026

The migration of our campus video library from Panopto to YuJa is now complete. While the data export process from Panopto took longer than initially anticipated, the import into YuJa was finalized as of January 5, 2026.

All users can begin using YuJa for recording and hosting video content now (via Blackboard or your myUMBC login at umbc.edu/go/yuja). As we transition fully into the YuJa environment, please review the following information regarding your imported content and the next steps for managing your media.

1. Locating Your Content

You can now access your migrated videos by logging into YuJa and navigating to Media Management. Your content now includes migrated videos and has been organized into a folder structure that reflects your previous Panopto setup, including folders for specific courses and any custom folders you manually organized.

2. Identifying "Orphaned" or Missing Content

While the vast majority of content migrated successfully, we are aware of some minor issues regarding "orphaned" videos -- content that may not have successfully migrated to your account due to the way it was stored in Panopto. Instructional Technology is prioritizing SP2026 faculty who used Panopto to ensure their content will be available by mid-January.

If you find that content is still missing after January 16: Please open a support ticket with Instructional Technology.

The Instructional Technology team will conduct a review of orphaned content to identify your videos and reassign them to your YuJa account.

3. Content Created After November 10, 2025

The automated migration captured content existing in Panopto up through November 10. If you created or uploaded videos to Panopto after November 10, including the Spring 2026 semester, this media will not not appear in your YuJa Media Management unless you self migrate that specific content.

Faculty and staff have until March 23, 2026, to complete any necessary self migration before our access to the Panopto archive ends. After that date UMBC will no longer have access to any Panopto content.

4. Next Steps and Support

Although Panopto will continue to be available in Blackboard until March 23 for video linkage, we strongly advise faculty to use YuJa for new media creation. To help you navigate and organize your new YuJa library, please refer to our YuJa FAQ collection and review our follow-up article about organizing content.

Upcoming training and webinars focused on YuJa features.

Best practices for linking YuJa content within Blackboard.

Tips for organizing your imported content and managing your Media Management folders.

We appreciate your patience throughout this complex migration. Our goal is to ensure that your instructional media is preserved and even more accessible in its new home.

If you have immediate questions, please reach out to the Instructional Technology team via RT.

Yuja Migration Delayed to Mid-January

<Tagline>Blackboard Panopto access remains through Spring Break</Tagline>

As we prepare for Winter 2026, we need to update the campus on our transition from Panopto to YuJa as UMBC's new video capture and hosting platform. While you can begin using YuJa for recording and hosting video content now (via Blackboard or your myUMBC login at umbc.edu/go/yuja), the bulk migration of all UMBC content from Panopto to Yuja will likely not be ready for the start of Winter 2026 classes. We expect it to be completed in mid-January.

First and foremost, I want to apologize to faculty for the angst this may cause in preparing for Winter or Spring 26 courses. We know the timing of this transition – and now this delay – is challenging. However, I want to keep you informed of a change we're making as a result:

Access to Panopto Inside Blackboard

The Panopto tool/link inside Blackboard will remain enabled until our license ends on March 23, 2026. Originally, DoIT announced it would be disabled on December 22nd, in part so as to not confuse faculty about which tool to use afterward (Panopto vs. Yuja).

However, DoIT strongly recommends that faculty only use this tool for linking to existing Panopto videos and only creating new videos or editing existing ones in Yuja.

Also, if you grade embedded quizzes with Panopto, the grade may disappear when our license ends after Spring Break. We are investigating this, but recommend that faculty download their Spring 26 Panopto grades to date beforehand.

Faculty and staff with small video collections (especially those without complex edits or quizzes) can self-migrate their own content at any time. It is not required or difficult, but it may be helpful to ensure your content is available for winter classes.

Campus Migration of All Panopto Content

Panopto is allowing for a free, one-time bulk migration of all existing video content to YuJa.

Migration Timeline: The process began in late November, and we estimate it will conclude around mid January, allowing for the holiday break and technical delays.

Phase 1 (Panopto Export): Compiling a list of videos to migrate including associated metadata (titles, captions, edits, quizzes).

Phase 2 (YuJa Import): Importing and processing video content. Once YuJa has the list of videos from Panopto, we will notify the campus that import has started.

Access During Migration: You do NOT need to wait for the entire migration to finish. If you self-migrate before the bulk migration (Phase 1) begins, your imported Panopto content will simply be duplicated in your YuJa Media Management page.

IMPORTANT: If you choose to create new videos in Panopto during or after the bulk migration, you will need to move your media to YuJa once the media is restored, and before our Panopto license expires, as there will not be a second bulk migration.

When Will Panopto Access End?

Blackboard and myUMBC Access will end March 23, 2026 to download and move any remaining video content.

Final Decommission: UMBC's contract with Panopto ends on March 25, 2026.

Training and Support

Instructional Technology is offering workshops and labs to help you get started with YuJa. Please review our upcoming schedule on myUMBC to register for an event.

Log into YuJa: umbc.edu/go/yuja

Review Documentation/FAQs:umbc.edu/go/yujafaqs

Submit a Request Tracker (RT) support ticket: help.umbc.edu

Again, I want to acknowledge the challenge this transition has caused, but also thank you for patience as we work to complete it. If you have any questions or concerns not addressed above, please let me know.

Sincerely,

John Fritz, Ph.D.
Assoc.
Press Play on YuJa: New Video Platform Available to Campus Users

<Tagline>Two phase migration of Panopto content begins Nov 10</Tagline>

In August, DoIT announced that UMBC will transition to YuJa as our new video capture and hosting platform, replacing Panopto. YuJa is a modern video system with advanced editing capabilities, active learning quizzing, detailed analytics, accessibility support, and sophisticated content sharing options. While migrating to YuJa now – to be ready for the Spring 2026 term – is challenging, doing so also reduces ongoing concerns about Panopto's media and folder management, pace of feature development, and increasing fees.

"In anticipation of my winter session course, I was able to quickly and easily migrate my videos to YuJa," said Tara Carpenter, Chemistry, who teaches UMBC's largest courses, CHEM 101 & 102. "I was also able to download the YuJa software and prepare to record a video in just a few minutes without prior training. Not only is it easy to use, but the features look amazing for professors and students."

YuJa is now fully available to campus users with access via Blackboard and myUMBC login. You can start using YuJa for recording and hosting video content right away!

What happens to existing Panopto video content?

UMBC plans to migrate all video content from Panopto and it will take two key stages to move this media between two vendors. Starting November 10th, Panopto is preparing our video content for export, including compiling a large metadata file with user information, video titles, associated closed captions, corresponding edits, and embedded quizzes. This stage of the process can take up to four weeks. The second stage will require YuJa to import the video content, which can take another four weeks to process. At this time, we estimate the video migration to conclude around January 9, 2026, allowing for the holiday break and barring unforeseen technical issues. If we anticipate delays, we will notify the campus.

When can I access my existing media in YuJa?

During the migration, you will be able to access your imported Panopto content as soon as each media file is processed to your YuJa account. You will find your content in your Media Management page, associated with your user profile, and from there, you can share it with your courses. You do NOT have to wait until the entire migration is finished to use your imported content in YuJa or to start recording new videos in YuJa.

What happens if I need access to existing Panopto content for Winter classes and it is not yet available in my YuJa account?

Panopto will still function for viewing content in Blackboard and via other sharing options. However, if you are concerned now about your winter course, you can self-migrate content, or if you wait for the bulk migration and you do not see your content in YuJa, please contact Instructional Technology via RT ticket by December 22, 2025, for specific support in this scenario.

Can I move my own content?

Yes, of course! Faculty and staff who have small video collections, or videos without edits and quizzes, can choose to move their own content at any point once YuJa is available. This is an optional step available to faculty who prefer to manage their own videos. You may encounter duplicate videos as imported content appears, which can be removed as you determine.

How will I know about the status of the migration?

Instructional Technology will also post updates via myUMBC and via pop-up message in Blackboard once the migration begins with periodic progress reports about the status of the migration.

Will DoIT keep all migrated content in YuJa?

After a period of time, some migrated video will be marked for removal -- for example, video that is orphaned since users are no longer with UMBC. Additionally, DoIT will establish video retention policies based on a variety of criteria such as lack of views over a certain period of time or copyright violation. These criteria will be vetted in collaboration with the Faculty Senate Computer Policy Committee by early Fall 2026 along with storage quotas for all users.

Can I keep using Panopto during the content migration?

Yes, you can still share and view content, including media used in Fall courses. However, we recommend that you do not use Panopto to record new media starting November 10th since YuJa will have the list of content it is importing. If you choose to create new videos in Panopto during the migration, you will need to move that media yourself from Panopto to YuJa once the migration ends. There will not be another bulk migration after the first one concludes. If at all possible, please start using YuJa now if you need to record new media.

When does Panopto access end?

Access to Panopto via Blackboard will end on December 22, 2025 after the fall semester concludes. This means that the tool will not be available in Blackboard courses and organizations, but video content will still be available in Panopto to view until the end of our license. Users can still log into Panopto via myUMBC until March 23, 2026 to download and move any remaining video content. UMBC's contract with Panopto ends on March 25, 2026, at which point we will no longer have access to the platform.

What training is coming for YuJa?

Instructional Technology will offer the following workshops on getting started in YuJa as well as two Video Production Labs in January to offer 1-1 support for migrating your media. Please review our upcoming schedule on myUMBC, or register for one of these events:

11/20 Recording and Sharing in YuJa

12/10 Editing in YuJa

12/12 Quizzing and Active Learning in YuJa

1/20 Video Production Lab (in person)

1/22 Video Production Lab (virtual)

Additional training will be scheduled.

Follow the Instructional Technology myUMBC group for more information about YuJa updates and training events.
