Community member being tested for COVID-19

Dear UMBC Community,

We have recently learned that one of our community members is currently being tested for a possible COVID-19 infection. We expect to have test results in two days.

The community member affected is receiving medical care and is doing well. We are following our established process of working with the Baltimore County Health Department to identify members of our community who have been in contact with the individual, notify them, and ask them to self-quarantine.

We know that this is a challenging time for many of you, and the Incident Management Team continues to work to support you. Given the spread of this virus, we have been preparing for this possibility and believe we have taken important steps to slow the transmission of this virus in our community. Most students have now left campus, and our community is preparing for the move to online classes after spring break on March 23. Telework will begin Thursday, except for those employees notified by supervisors that their presence on campus is essential.

Our Incident Management Team continues to meet regularly to respond to the needs of students still on campus, monitor situations like these, and establish guiding policies and procedures in this rapidly changing situation. Moving forward, we unfortunately expect to have more potential cases in our community and will communicate these developments in our daily COVID-19 Action Update email, which will resume on Wednesday March 18. If you have questions or concerns, please connect with us at covid19@umbc.edu.

Please also review UMBC’s COVID-19 website at covid19.umbc.edu for prevention steps, updates, and resources.

UMBC's Incident Management Team

Updated Guidance on Remote Work and Leave

Dear Faculty and Staff,

We appreciate your patience during this rapidly evolving situation. Yesterday, we received additional guidance from the University System of Maryland (USM) regarding remote work and leave policies. USM is working to comply with the Governor’s directive to move all employees to remote work. You can read an update from the Chancellor here. This message shares highlights from that guidance and UMBC resources. This information also applies to UMBC staff at the Universities at Shady Grove.

The University will remain closed through March 18 for spring break (and through March 22 for students). The University will reopen on Thursday, March 19, with employees working remotely (facilities will remain closed).

What happens on Thursday, March 19?

The university will be open, although campus facilities will be closed. All employees who can work remotely should do so. Please work with your supervisor to determine your tasks, workloads, and reporting structures. Only essential personnel who have been notified by their supervisors should report to campus.

Who is eligible for remote work?

All UMBC employees are eligible, including: any graduate assistant, postdoctoral fellow, researcher, regular faculty or staff member, contingent 1 or contingent 2 employee, student employee, adjunct faculty member, hourly faculty member, or any other employee whose duties can be accomplished via remote work safely and productively.

Can I work remotely while caring for children or dependents?

The restriction on teleworking from home when caring for children or other dependents will be waived if the employee believes they can safely and productively telework while providing any necessary care.

What if my duties cannot be accomplished remotely?

Employees in regular and contingent 2 positions who are not on previously approved leave of any type and are in positions that are not appropriate for telework will be given administrative leave.

Contingent I and student employees may be assigned remote work or alternative work assignments. Employees in these categories, as well as graduate assistants and adjunct faculty, who cannot work remotely will remain in paid status. We are still developing the processes needed to make this happen.

We recognize that for many employees this is not a simple question to answer. We will continue to provide clarity in the coming days and are committed to taking care of our employees and their families. Please continue to share specific inquiries at COVID19HRresponseteam@umbc.edu.

How do I fill out my timesheet if I am working remotely?

If you are working remotely, mark your timesheet as a duty day. Non-exempt employees who work remotely will receive administrative leave, as well as overtime compensation for any hours actually worked. If you and your supervisor determine that you cannot work from home, you will be granted administrative leave. We will provide further guidance on this procedure in the coming days.

Can I access my building during this time of remote work?

We recognize that some employees may need to return to campus to access offices and research spaces in the coming days. If you need to and are unable to access your building, please call the UMBC Police Department at 410-455-5555. Staff will be in place to assist you. For the safety of all, please limit your visits as much as possible.

Can I use my personal computer to perform work during this time?

We recognize and appreciate that in these extenuating circumstances that employees will need to use their personal computers when working remotely. If you are in a position that deals with personal identification information for students or employees, please check with your supervisor before doing so. For technical assistance on working remotely, the Division of Information Technology provides a variety of helpful resources.

What if I am sick?

This is a rapidly evolving situation. We are working to amend our policies to make accommodations for employees who are unwell due to COVID-19. At this time, leave-eligible employees who are unwell or are caring for an unwell dependent should continue to mark sick time on their timesheets.

For employees who are sick with a potential COVID-19 related-illness but who do not have adequate leave, our leave donation program will be made available for these situations. We have extended the leave donation program to include contingent 1 and contingent 2 staff, hourly faculty, and student employees. If you are in this situation, please have your supervisor make Human Resources aware so we can guide you through the leave donation program.

To help the University track absences related to COVID-19, employees should complete the Coronavirus-Related Absence Tracking Form. Information reported on this form will be shared in summary form only (non-identifiable) and will be used to assist decision-makers responsible for determining if the University should close any or all of its operations, in relation to this virus. In addition, for COVID-19-related absences and quarantine periods, employees who do not obtain medical documentation from their healthcare provider may instead complete the Work Absence Affidavit.

Note: Normal absence procedures apply for illness and/or other requests for leave time not related to COVID-19.

Please continue to submit your questions to Human Resources at COVID19HRresponseteam@umbc.edu

UMBC's Incident Management Team

Staying Healthy During COVID-19

  <Tagline>Family Connection Newsletter Article - March 2020</Tagline>

By Adam Sachs, RD, Campus Dietitian

The COVID-19
(coronavirus) outbreak has dominated the news and seems to be on everyone’s
mind. It is important to listen to facts and experts on this topic when looking
for new and updated information. Food preparation and diet can be one of
largest factors to staying healthy and preventing the spread of disease. Make
sure to use caution and follow some of these guidelines to adjust your diet and
    food preparation techniques

When
preparing any type of food WASH YOUR HANDS FIRST. Especially if you are
preparing food for others. Avoid touching your mouth, eyes or nose when
preparing food. Make sure to clean and sanitize your work space and use clean
utensils and equipment. Be very aware of food expiration dates, and the status
of fresh items in your fridge. If anything appears or smells spoiled, it is
safest just to throw it away. Remember to clean as you go during meal prep. It
is also a great practice to prepare meals in large batches. Portions of these
meals can be frozen and saved for later dates.

If you are
eating out or getting food from a restaurant try to get take-out or delivery if
possible. Many restaurants may also be dealing with shortages for certain
ingredients or be unable to store everything, so be prepared to be flexible
with some of the menu items.

There are
also some diet and lifestyle changes we can all make to ensure that our immune
system is functioning a peak performance. Make sure to get plenty of fruits and
vegetables. Fresh, frozen, and even canned can all be equally nutritious. Many
fruits and veggies contain vitamins and minerals that help to boost our immune
function. Citrus fruit, tropical fruit, and cruciferous vegetables contain lots
of vitamin C, which supports healthy immune function.

Also look for foods high
in Zinc. Nuts/seeds, eggs, dairy, shellfish, and legumes are all a great
source. Also make sure that you are consuming enough fluids. The average adults
needs about 60-90oz of water per day, so try to meet that minimum if you can.
Lastly, make sure you are getting an adequate amount of sleep. Sleeping fewer
than 6 hours per night for three or more days has been show to suppress immune
function. Taking regular naps, and avoiding screen time before bed can help to
boost your sleep time and quality.

Three Unique Ways to Use Social Media in College

It is likely that social media is a part of your daily
routine and a main way that you stay socially connected to friends and family.

But perhaps you don’t know some of the more unique ways
social media can help maximize your overall college experience. If that’s the case, let us highlight three ways
you can use social media as a college student:

Connect with UMBC
    Offices and Organizations

Many UMBC offices and organizations have their own active
social media accounts. You can follow a UMBC office or organization to learn
more about the services they provide or exciting opportunities they have for
students. And some, like our office, welcome DMs
(direct messages) from students regarding any questions or concerns you may
    have.

Check out some of these UMBC social media accounts:

UMBC Life

UMBC Campus Life

SEB (Student Events Board)

Office of Financial Aid & Scholarships

Career Center

UMBC Athletics

Network with
    potential employers

Whether you are on the hunt for an internship, job, or
exploring graduate school opportunities, following the social media accounts of
places you’re interested in can tell you a lot about its mission, values, and
community. This can give you some insight into whether or not a place would be
a good fit for you. Some companies and organizations might even use their
social media accounts to advertise employment opportunities.

If you are preparing for an internship or job
interview, the information you gather from social media can then be used to
show that you’ve done your research and have a working knowledge of the company
or organization’s practices and current ventures.

Having a LinkedIn account is a great way to connect with
professionals working in the field you are interested in. Using LinkedIn, you
can message professionals to set up informational interviews (i.e. - to learn
about how they entered into the field or to learn more about their job). You
could also use a site like LinkedIn to join interest groups and participate in
online discussions related to your field of interest.

Learn more
about LinkedIn and how you can use it effectively as a college student here.

Gathering Survey
    Data/Assistance with Class Assignments

Do you need to conduct research for your class? Whether
posting qualitative questions you want students to respond to, or sending out a
survey link, social media can help you get responses from a larger group of
people in a shorter amount of time – just be sure to check ahead of time to
make sure your professor is okay with you using this method to gather
    information!

Additionally, if a class assignment requires community-based
work or research, you can use social media to help you connect and network with
local organizations that may be able to assist you.

--

Bonus:

Check out this UMBC course!

MCS 355 – Social Media: Networking and Mobility; pre-requisites
are MCS 101 or 222 and ENGL 100 or equivalent

This course is designed to encourage students to
critically engage with the growing role that social media, online networks, and
mobile communication technologies play in their understanding of self and
community, sociability and privacy. Students will reflect on the centrality of
collaboration, networking, and participation in social media technologies.
Assignments and readings will require students to interact with core questions
surrounding the emergence of social media and the impact of living increasingly
mediated lives. Special attention will be paid to the centrality of writing in
a digital world, even as the platforms for composition, editing, and
    publication have changed.
