While the university is currently open for business, the following FAQs are intended to help address employee and supervisor questions regarding such items as remote work and leave, as they relate to UMBC’s Emergency Response to COVID-19. This FAQ document will be updated as circumstances evolve. Please visit the UMBC COVID-19 website for up-to-date information on the University’s response.
Campus Status: UMBC is currently open. This document is intended to address questions related to the University’s current open status. Should the University close, additional information will be communicated around leave and pay.
Are employees required to physically report to work when classes are cancelled?
In accordance with guidance from the Governor, employees, including student employees, are encouraged to work remotely when their job duties can be performed remotely without hindering operations. The University encourages supervisors to exercise maximum flexibility in implementing and approving remote work. This includes scheduling student and contractual employees as needed and available, where work exists and can be performed safely on campus or in a remote location. The University’s standard Telework Agreement will not be required at this time.
What resources exist for employees and supervisors who are working remotely?
Employees should consult with their immediate supervisor regarding the need for equipment and access to systems that would allow them to work remotely. UMBC offers free tools for video conferencing, chat, collaboration, and online storage. Information on these tools, as well as additional guidance and resources, can be found at doit.umbc.edu/business-continuity/.

My job requires me to work on campus. What do I need to know?
Employees are asked to postpone any non-essential meetings. All other meetings should be held virtually. In-person meetings should only take place when appropriate social distancing guidelines can be followed. Please continue to visit the UMBC COVID-19 website for updated information and guidelines.
What if I am not able to work due to a COVID-19 related absences?
Eligible employees should continue to complete and submit timesheets, as well as communicate with their supervisor regarding absences. To help the University track absences related to the coronavirus, the employee should also complete the Coronavirus- Related Absence Tracking Form. Information reported on this form will be shared in summary form only (non-identifiable) and will be used to assist decision-makers responsible for determining if the University should close any or all of its operations related to this virus. In addition, for COVID-19 related absences and quarantine periods, employees who do not obtain medical documentation from their healthcare provider may instead complete the Work Absence Affidavit.
Note: Normal absence procedures apply for illness and/or other requests for leave time not related to COVID-19.
I am not on direct deposit. Will I continue to receive my paycheck?
Yes, while the university is open all payroll processes will continue. Departments should follow normal procedures to pick up live paychecks. We understand that the introduction of remote work will present challenges around this pick up; as such, detailed instructions will be provided to payroll preparers and approvers around check distribution. Employees and departments who use paper timesheets to submit time should institute procedures to receive these documents to ensure that payroll preparers and approvers can accurately input this time.
We continue to strongly encourage all employees to enroll in direct deposit. Information around setting up direct deposit, as well as creating a Payroll Online Services Center Account, changing an address, adjusting tax withholdings, etc. can be found here.
What other resources are available to me?
It is not unusual to feel stress in a situation like this. Fear and anxiety around something like COVID-19 can be overwhelming and cause strong emotions in adults and children. All Library & Gallery events are canceled until at least April 6, per University policy.
Students and instructors with materials on course reserve: some physical reserves materials may be available in our catalog as e-books, on sites that allow streaming of media items, or are accessible via the public domain. If the item is not available electronically, the Reserves (or ILL) staff, upon request, may be able to digitize assigned readingsfrom items on Course Reserves and post to Blackboard.We are unable to reproduce content from a disc. Please allow a minimum of five business days for requests to digitize course materials. Staff will prioritize requests by the assignment due date whenever possible.
For requests to digitize course readings, please obtain the name and number of the course and share the digital copy with the Reserves staff (reserves-group@umbc.edu).
For inquiries regarding due dates and fines, nothing will become due from Sunday March 15th through Sunday March 22nd. All USM libraries will be lenient with fines if campuses close post March 22nd. Note that some short-term loan items may become due whenever the owning library is open. Patrons do need to be mindful of honoring such due dates – i.e. course reserves, and media items and equipment.

Dear Campus Life’s Diversity and Inclusion Community Members,
Given the current and anticipated class cancellation and modifications to campus operations as a result of UMBC's spring break week and guidance related to COVID-19, Campus Life’s Mosaic Center, Interfaith Center and Pride Center will be closed beginning today, Friday, March 13th until March 22nd. We expect all of our spaces to remain closed until the University resumes normal operations or a different directive is given from the institution.
The University will remain closed through March 18 for spring break (and through March 22 for students). The University will reopen on Thursday, March 19, with employees working remotely (facilities will remain closed).
Please contact the UMBC Police at 410-455-5555 for emergencies that may occur while the university is closed.
As of Thursday, March 19th, Campus Life's Diversity and Inclusion professional staff will be available remotely via our individual emails and phone numbers listed below and can schedule meetings via Webex or Google Hangout.

UMBC COVID-19 Action Update
March 11, 2020
Campus Status: Currently, there are no suspected or confirmed cases of COVID-19, also known as coronavirus, at UMBC.
This update will contain new information for each day. For the most updated information and more information on actions to reduce COVID-19 risks in our community, please visit COVID19.umbc.edu.
Student Services and Support
Residential students received guidance today from Residential Life regarding vacating campus. Residential life is closing for 8-month communities on Friday, March 13th at 8pm. Students in 9-month areas are expected to vacate by Saturday, March 14th at 12 noon.
Students with concerns about their housing, or risks associated with their city of destination, should contact Residential Life.
We understand that students, parents, and families have many questions about impacts on academics, residential life, and finances. We have teams working to address these concerns and will provide updates in future communications.
Mail and deliveries will continue as normal on Thursday, March 12, and Friday, March 13.
Events
All events and meetings scheduled to take place on UMBC property have been either canceled or postponed from Thursday, March 12, through at least Sunday, April 5, 2020.
Currently, internal University business meetings may go on as scheduled either online or through use of social distancing. This video can help you understand the practice of good social distancing behavior.
Events scheduled to take place after Sunday, April 5 will continue to be evaluated as the situation evolves.
All RAC activities to include fitness facility activities and equipment use are canceled or postponed starting Thursday, March 12 until at least Sunday, April 5. The RAC will remain open for staff who work in the building.
Dining
On Thursday, March 12, and Friday, March 13, dining services will continue to be provided to students living on campus.
With the exception of spring break (March 16-18), the following retail dining venues will be open for faculty and staff working on campus: Admin Coffee Shop, The Market (Outtakes) in the Commons, and 2Mato in the Commons.
Retriever Essentials Food Zones will be open to the campus community on Thursday, March 12 and Friday, March 13. Details available here.
Travel
Following guidance from the Governor, all university-related, out-of-state travel for faculty, students, or staff, is currently suspended.
We expect guidance very soon from the University System of Maryland regarding staff schedules, student staff, telework, leave, etc.
Individuals who feel they may have medical reasons to stay home should discuss options with their supervisor.

Following guidance from the University System of Maryland in the rapidly developing public health response to COVID-19, UMBC is canceling classes this Thursday and Friday (March 12 – 13, 2020) to provide students, staff, and faculty time to prepare for transition to fully online instruction when classes resume after Spring Break. We expect online instruction to continue for at least two weeks. The university will remain open for other essential purposes, and academic and administrative offices are preparing for remote delivery of student services and other essential operations.
Students should plan to not return to campus for the two weeks following spring break, as they take courses online rather than in person. Staff should plan to return to work on Thursday, March 19. Campus events will be canceled through April 6. Following guidance from the Governor, all university-related out-of-state travel is currently suspended.
We know that our community members will have many questions following this message. The campus Crisis Management Executive Team, chaired by Vice Presidents Lynne Schaefer and Nancy Young, will communicate more information in the days ahead for staff, faculty, and students. This information will include guidance for students who will need to continue to access on-campus housing, further instructions for online teaching for faculty, and telework options for staff.

Partnering for student success: Centering student agency in the writing and research process.
Presenters: Erin Durham, Elaine MacDougall, Allison Jennings-Roche, Beck Hertl, Emma Jett, and Kyndall Hardwick
The library and writing center staff have developed a strong collaborative relationship to center student agency in the research and writing process at the University of Maryland, Baltimore County (UMBC).
What Do “Diversity” and “Social Justice” Mean to Writing Center Practitioners?
This roundtable will engage participants to think critically about diversity and social justice in writing centers. We will analyze the past, present, and future pedagogies of writing centers in the context of social justice.
Creating Trauma-Informed Writing Workshops: Reflection and Intervention in the Narratives of Our Lives.
Presenter: Elaine MacDougall, Writing Center Director.
Trauma-Informed writing workshops allow space for reflection and intervention in our own thought processes. Writers can reflect on their own sense of a “dominant cultural narrative” and work to transform that narrative if necessary, giving voice to silence when imposed on individuals in our communities, including writing center spaces.
Developing more effective tutoring strategies for multilingual writers in the Writing Center.
Presenters: Ajay Kharkar, Jamie Denton
This Data Dash presentation features the early findings of research on strategies to increase comfort for multilingual writers in our Writing Center.
